Duties and Responsibilities
BACKGROUND
This position is for a short-term contract, of up to three (3) months, in support of training under the
United Nations Triangular Partnership Project (TPP) for Rapid Deployment of Enabling Capabilities for peacekeeping. The training is conducted at the Indonesian Peace and Security Centre (IPSC) in Sentul, Indonesia. The incumbent reports to UNTPP Project Team's contact person at UNHQ in New York and is under the administrative supervision of the Programme Officer, Operations, TPP.
The TPP is one of the outcomes of the September 2014 Summit on UN Peacekeeping, and aims to enhance the Rapid Deployment of Enabling Capabilities for peacekeeping. The triangular partnership Programme comprises the United Nations, supporting Member States and Troop-Contributing Countries (TCCs).
Under the direct supervision of the TPP Project Team, within delegated authority, the Logistics Assistant will perform the following duties:
Responsibilities
Coordinate logistics requirements in support of the training including recording of fuel delivery.
Maintain a record of project assets and stores covering receipt, inspection, and issuing of items. This includes liaison with TPP team for periodic updates of project assets and consumables in Umoja (UN's enterprise resource planning system).
Compile all requests for training materials, transport, and fuel, and submit them to the project
representative for approval.
Provide training support to include printing of training materials, video recording of training in
conjunction with training teams, and address emerging issues on a daily basis.
Maintain on-site project files and records including vendor contracts, payment requests, invoices,
payment status, Letters of Assist (LOA) and Host Country Agreements, etc.
Provide general office assistance; respond to information requests and inquiries; review, log and route incoming correspondence; set up and maintain other files/records such as attendance records; organize meetings, workshops and handle other administrative and logistics tasks.
Perform other duties as assigned by the Project team or its representative at the training location.
Work implies frequent interaction with the following:

International Training Teams
Indonesian military staff
Procurement Staff
Suppliers and vendors
Qualifications/special skills
Academic Qualifications: High school diploma or equivalent such as a technical or vocational certificate in logistics, transportation, supply management, business administration or related field.
Experience: A minimum of five years of progressively responsible experience in supply chain management, contract management, logistics or related area is required. Experience with inventory control and management of a large client base in an international environment is desirable.
Language: English and French are the working languages of the United Nations Secretariat. For the
position advertised, fluency in English and Bahasa Indonesian is required. Knowledge of another official United Nations language is an advantage.
