Summary:

The U.S. Bi-Mission in Jakarta is looking for Administrative Clerk position in the Defense of Attaché Office (DAO).

Supervisory Position: No Relocation Expenses Reimbursed: No Travel Required: Not Required

Duties

The incumbent manages DAO outlook calendar; receives forwarded emails from DAO personnel, extracts information, adds to calendar, and sends out corresponding invitations. Scans faxes and invitations, then files and distributes via email as per appropriate. Maintain detailed logs and organized electronic and manual filing systems. Serve as primary receptionist for the DAO's main telephone line. Will need to take messages and contact DAO members via a variety of methods (email, SMS, telephone, in person). Updates telephone/contact list and distributes to DAO members. Manages DAO fax line - sends faxes and receives faxes. Check DPO mail, pouch mail, and internal Embassy distro twice daily. Submits work orders as directed for DAO residences and offices, including phones and IT equipment. Maintain tracking and suspense system for follow-up on all outstanding tasks. Serve as liaison between DAO operations staff and LES chauffeurs as needed. Provide other administrative support to DAO personnel as time allows. Purchase office supplies and/or order through General Service Office (GSO) procurements as required. Arrange restaurant and hotel reservations, travel arrangements, professional receptions, and gifts. Learns E2 system and assist DAO personnel in submitting travel vouchers. Process Tricare and school enrollments for DoD personnel. Assist as· required and supervised by the DAO personnel in coordinating logistical support for VIP visitors to include host nation officials, hotels, airports, restaurants, husbanding agents, et cetera. Tracks visas and related items for incoming personnel and personnel already on station. Coordinate with Human Resources Office (HRO) for visa approval. Assists as needed with FAO students. Attend embassy meetings as needed and take notes to distribute afterwards. Assist DAO personnel with check-in and clearing post.


Qualifications and Evaluations

Requirements:

EXPERIENCE: Two (2) years of prior experience working in an office with the demonstrated ability to perform the required tasks or equivalent experiences is required.


(Please note that one credited year of working experience is equal to 40 hours/week x 52 weeks or 2080 hours.)


JOB KNOWLEDGE
: General knowledge of office management. Familiarity with locations of hotels, restaurants and other information about Jakarta.are required.


Education Requirements:

Minimum two years university or college studies is required.

  • Good Working Knowledge Speaking/Reading/Writing in English and Bahasa Indonesia are required. (This may be tested).


SKILLS AND ABILITIES:


  • Must be familiar with use of standard office equipment (computer, scanner, digital sender, calculator, fax). Ability to use the internet and the Department's Open Net. Work with the entire Microsoft Office suite. Ability to learn SharePoint (training will be afforded when possible}. Typing at a minimum of 40 words per minute with less than 2 errors per minute is required.
