EXECUTIVE ASSISTANT TO DIRECTOR – FMCG (SURABAYA)

ABOUT OUR CLIENT

Our client, an FMCG company is looking for potential candidates to be placed as Executive Assistant to Director with details as follows:

JOB SUMMARY

REQUIREMENTS:

Minimum S1 Education (Degree in business administration or relative field)
Male / Female with minimum 2 years experience
Have exceptional skills/knowledge in secretary or administrative jobs
Computer literate (MS Excel, Word, PowerPoint, and/or Photoshop is a plus)
Responsible, honest, trustworthy, disciplined, and willing to learn new things
Detailed type of person and highly organized
Familiarity with basic research methods and reporting techniques
Presentable with a good attitude
Able to work under pressure
Must be willing to work on weekends when required
Must be willing to travel
Flexibility and adaptability to juggle a range of different tasks and work extra hours to meet deadlines

RESPONSIBILITIES:

Provides high-level administrative support and assistance to the President Director
Maintain President Director’s agenda and assist in planning appointments, board meetings, conferences, etc.
Organize and set up executive/board meetings
Handling a wide variety of tasks and situations
Receive and screen phone calls and redirect them when appropriate
Prepare invoices or financial statements and provide assistance in bookkeeping
Performs additional duties as assigned by President Director
Handle and manage outgoing or incoming letters of President Director
Receives and monitors all incoming calls to the Managing President Director’s office
Preparation of reports as required by President Director
Organizes President Director’s calendar and task
Communicates with every head of department to ensure that the request made by the President Director is met.
Handle confidential documents ensuring they remain secure
Maintain electronic and paper records ensuring information is organized and easily accessible
Conduct research and prepare presentations or reports as assigned
