The British Embassy Jakarta is part of a world-wide network of 270 Posts, representing British political, defence, economic, trade, and consular interests in Indonesia. We are seeking a dynamic Corporate Services Officer to deliver and manage our day to day operational in Estates, Procurement, and Logistics.

The CSO Estates, Procurement & Logistics is a key position providing a wide range of first-level, high quality support and customer service within the Embassy, particularly related to Estates, Procurement, Health & Safety and Logistics. The job holder will work with both the Procurement & Estate Manager and the Logistics & Protocols Manager in delivering and managing estate issues, estate related taxes, procurement and inventories, Health & Safety and Logistics activities for Indonesia network.

The successful candidate will be offered a 12-months Fixed Term Contract to start off with a possibility of extension.


Roles and responsibilities:

1. Estates and Procurement:

  • Liaise with Facilities Management (FM) provider for estates related tax documentation
  • Lead on estates related and general purpose procurement
  • Assist the Procurement & Estate Manager in liaising with FM provider on estate issues and projects
  • Lead on estate related inventories
  • Manage properties portfolio and data integrity
  • Any other delivery duties as required in the scope of Estate and Procurement

2. Health, Safety, Wellbeing (HSW):

  • Assist in Health & Safety documentations
  • Assist on HSW activities for the network by engaging with the relevant parties including FM provider, suppliers and other contractors to ensure standards are being met
  • Assist with network sustainability plans (i.e. “greening the office”) to meet global targets
  • Act as Deputy HSW Coordinator and Fire Safety Assistant Manager for Indonesia
  • Any other duties as required in the scope of Health, Safety & Wellbeing

3. Logistics:

  • Lead on applications and management of stay permits and ID cards of staff
  • Work closely with Logistics & Protocols team in daily overall operations of Logistics and Protocols
  • Any other duties as required in the scope of Logistics
Essential qualifications, skills and experience
  • Tertiary degree from recognisable university
  • Related working experience for a min of 2 years. A prior experience in FM/Estates, Inventory or Procurement will be an additional value.
  • Experience in collaborating with stakeholders from different sections, background and multicultural environments
  • Client facing management experience
  • Proactive, meticulous, ability to prioritise, analytical, good administration skill & multitasking
  • Ability to work with minimum supervision
  • Must be able to travel for short period to different locations. Travels are currently adjusting to the pandemic.
  • Language: Indonesia and English. Fluent in both written and verbal
