Job Description

In charge of providing services to all work units in the company, both administratively and managing routine company services. The services will include but not limited to providing work place, office’s logistic and facilities, environment safety & health, security, company permits, and other general services.

Job Responsibilities:


1. Work place facilities
  • As the main person in charge for any required office renovation and/or relocation
  • Prepare and maintain workplace facilities for all employees
  • In coordination with building management and/or landlord to ensure that the work place at Head Office and/or any branches (if any) are well managed and make the places are safe, safety, and comfortable for all stakeholders
  • In coordination with relevant parties to provide sufficient parking area for our colleagues and/or guests as necessary
  • Manage the furniture and company properties are always in good condition, by doing regular maintenance
  • Manage and control all relevant utilities spending and payment process (e.g electricity, telephone, water, etc)


2. Organize office supply & office equipment
  • To ensure that all office supply are sufficient for regular consumption (e.g stationary and pantry needs). In the case of ad-hoc urgent needs, should be ready to source it in reasonable timeline
  • In coordination with supplier for timely delivery of goods and services of office supply and equipment included to manage the copier machine facility
  • To provide and distribute the uniform and/or other required safety stuffs for Field Forces


3. Supervise Contingent workers and outsourcing provider
  • Manage the selection process of outsourcing agency provider refer to Procurement regulation.
  • Supervise, checking and controlling the contingent workers in the scope, namely Security, Driver, and Office Boy duties
  • Manage working time schedule for Security, Driver and Office Boy on daily basis.
  • In coordination with Finance team to manage the payment process on invoice from outsourcing agency


4. Organize Petty Cash
  • Manage petty cash with proper procedure and in accordance to the usage
  • Reimburse driver bill to finance via concur
  • Prepare detail reporting the usage of petty


5. Documents and/or goods dispatching
  • To support all departments / functions who require delivery services, either from / to internal members or third parties.
  • To organize the packaging process prior delivery process to designated recipients
  • To select delivery agency to provide service as required, either delivery only or including wrapping and delivery
  • To support domestic mobility for some colleagues who are transferred across area within Indonesia, especially on transport and the good’s relocation.


6. Permit and License (in coordination with direct manager)
  • Responsible to all Company’s licenses and permit
  • Take care expatriate permits


7. Company Asset
  • In coordination with Procurement and Finance team, responsible to procure and provide required asset for the shake of business continuity
  • In coordination with Finance team to ensure that all company assets are recorded
  • In coordination with Finance team and relevant business owner to lead the asset disposal process


8. Other
  • Support HR and/or Communications to arrange and execute company events
  • Manage all incoming invoicing, agreement and other documentation from Third party Vendor in relation to GA jobs.
  • PO creation & registering GA vendor into Ariba system


Job Specification

  • Education: University graduate

  • Experiences: about 2 years in similar role, or have strong interest to this role.

  • English proficiency

  • Fast and hard work, able to work under tight deadline

  • Trustworthy

  • Structured and tidy in doing tasks

  • Having customer service satisfaction mindset
