JOB DUTIES AND RESPONSIBILITIES
Providing a range of administration services on a day-to-day basis and easing the administration load on those members of the Service department in Site
Assist with the administrative duties in relation to contractual obligations (Customer & Contractor), to ensure compliance with agreements.
Ensure accurate and reliable information is always readily available.
Expedite documents to and from internal and external suppliers, contractor and customers including drawings, manuals, technical and quality documentation, financial documents
Maintain a spreadsheet report and initiate completion of forms for approval by the relevant site service, ISO and others at the commencement of site service.
Support auditing of in site service to ensure compliance with the policies and procedures and to check for the accuracy of data recording
Prepare monthly report petty cash and request data checking account every month to the bank
Collate and submit monthly reports for office in site activities
As required, assist with administration, planning, coordinating and reception duties. Collate and print of reports, as required
Travel – Administration travel, MCU, Flight, accommodation bookings, Visitor ID, Itinerary and other administration, making travel and expenses reports
Liaise with related department, PT.FI Contract Group and end user regarding with paper permit entry - arrangement for Site visit, new employee at the jobsite.
Make monthly reports on the presence of foreign workers to the Manpower Office in Timika, police, immigration, and formalities dept. PTFI.
Making monthly HR Report such as status of manpower, mobilisation and demobilization, sick leave and absenteeism, emergency contact chart.
Responsible for the monthly on call & night shift report of the supervisor, sick leave report, vacation leave report and attendance report
Purchase office consumables for the site service
Managing all orders from food, merchandise to work clothes and distribute to all employees.
Coordinate appointment MCU for employees refer data and info from Safety site Representative.
Create a personal reminder for any licensing extension (eg. expat's work permit.)
Coordination with light vehicle workshop if any operational vehicle is damaged base on info from safety site representative
English to Indonesian translator and vice versa
General administrative functions for Service site and ISO are required from time to time
Support planners
Perform other related duties as required
