Panagora Group, a woman-owned small business providing novel and integrated solutions in global health and international development, is supporting USAID/Indonesia to implement its 2020-2025 Country Development Cooperation Strategy (CDCS) through a Monitoring, Evaluation, and Learning Platform (MEL-P) Activity. MEL-P provides its services through five components: 1) monitoring support services, 2) designing and conducting performance and impact evaluations, 3) providing research, assessment, and data analysis, 4) providing consulting and advisory services and logistical support services, and 5) initiating collaboration, learning, and adapting activities.


Under Component 4, MEL-P seeks a professional to lead event planning and the implementation of a one-day USAID/Indonesia Higher Education Partnerships Conference, a four-month endeavor through November 2022. This individual will support event planning, organizing, and executing of the event activities and logistics in close coordination with USAID/Indonesia, USAID implementing partners, the US Embassy, and Government of Indonesia partners. The support includes:


  • Contact and coordinate potential participants and facilitators from the education, government, and private sectors, with assistance from USAID and its IPs, and in coordination with GOI.
  • Oversee the team of consultants to support the conference, including the Communications Specialist, Photo and Video Lead, and two Administrative Assistants
  • Draft and send invitations, follow up with potential participants and be responsible for executing a smooth/efficient process for participant registration in advance and at the in-person venue
  • Liaise with IPs and confirm session leaders, speakers, and facilitators as necessary.
  • Oversee the sessions, oversight of the virtual platform (if used), photography, videography if required, and other event logistics.
  • Responsible for all on-site logistics for the sessions, such as venue, AV & IT equipment, refreshments, set-up and tear down.
  • Propose innovative designs of the event that align with USAID objectives and leave a positive lasting impression
  • Recruit and manage volunteers or part-time support to help with the day of event logistics and planning
  • Ensure the discussions are transcribed and work with the Communications Specialist to summarize notes into takeaways and action points.
  • Circulate the final report, including discussion notes and action items for USAID. its IPs, and government partners.
  • Hold a debrief meeting with SUAID and its IPs to discuss the follow-up action plan
  • Ensure the conference is accessible to individuals with disabilities and they are able to fully engage in the sessions
  • Follow GOI regulations for in-person events and take preventative measures to reduce the risk of spreading COVID-19
  • Prepare contingency plans and alternative arrangements for all possible risks that could happen at the event



Requirements

  • Education: Bachelor's degree is required.
  • Prior Work Experience: Five years of progressive experience with planning, organizing and leading mid-large scale in-person and virtual international seminars/workshops/conferences with or for Ministries, donors or multilateral agencies for at least 200 participants in Jakarta.
  • Experience managing/supervising a team.
  • Language Proficiency: Strong written and verbal communication skills in English and Bahasa Indonesia
  • Skills and Abilities: Demonstrate a high degree of ability to manage multiple tasks simultaneously and close attention to detail.
