Main purpose of job:

Support BE Jakarta during Indonesia’s G20 Presidency on G20 VIP visit planning.

They will facilitate coordination and compilation of VIP visits, including visits logistics, such as accommodation, transport, travel and security. The Job Holder will also support the Corporate Services team in managing the Embassy’s budget for the G20, including approving invoices, tracking visit expenditure etc. The job holder will sometimes need to accompany delegates, problem-solve and facilitate their programmes on the ground, deputising for the C4 Visits officer where required.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Working with xWH and xEmbassy colleagues, support the C4 Visits Officer and Corporate Services team with visit logistics for the UK’s visiting G20 delegation, including facilitation arrangements for the following: travel, transport, accommodation booking etc. Anticipate and mitigate likely logistical challenges.
  • Support the Corporate Services team in managing the Embassy’s budget for the G20, including approving invoices, tracking visit expenditure etc.;
  • Work closely with C4 Visits Officer to support itinerary management for visiting UK Ministers and senior officials who are part of the UK’s G20 delegation. Pro-actively offer advice on itineraries to make optimum use of delegates’ time;
  • Liaise with the Indonesian Ministry of Foreign Affairs, Coordinating Ministry of Economic Affairs and other government departments as necessary on travel and visit plans of the UK delegation. Seek out and process information for delegates, pro-actively make recommendations for preparation and handles any issues arising;
  • Liaise with xWH G20 teams, providing logistical support as required;
  • Carry out the reccees to meeting sites, working with security and CST colleagues as/when required. Assess where challenges exist, analyse and suggest risk mitigations.
  • Deputise for the C4 Visits officer where needed.

Working patterns:

The Job Holder will need to work from Jakarta and may be required to travel to other meeting venues across Indonesia, including Bali.

Working hours are 7.30 am – 4 pm Monday to Thursday and 7.30 am – 1 pm on Friday.The Job Holder may have to work outside of these hours in the run up to visits. But time-off-in-lieu will be made available.

Embassy staff are currently working from home. We hope to return to the Office soon but hybrid working will remain an option, subject to business needs and line manager approval.

This is an 8-month fixed-term position.

Essential qualifications, skills and experience
  • Excellent organisational and logistical skills.

  • Experience of organising VIP visits or receiving foreign delegations.

Language requirements:

  • Language: Fluent written and spoken Indonesian and English
Desirable qualifications, skills and experience
  • Experience of working with the Government of Indonesia and/or foreign Embassies is preferred.
  • Understanding and/or experience of working on G20 or other multilateral fora would be an advantage.
