Introduction

We are seeking a dynamic and customer‑focused Front Desk Staff (Layanan Pelanggan dan Administrasi) to join our growing team. This role serves as the first point of contact for visitors, clients, and partners, ensuring a professional and welcoming environment while handling a variety of administrative tasks. The successful candidate will thrive in a fast‑paced setting, exhibit excellent communication skills in both English and Indonesian, and demonstrate a proactive attitude that enhances the overall guest experience.

Responsibilities

  • Greet and assist all visitors, clients, and callers with a friendly and courteous demeanor, providing accurate information and directions.
  • Manage the reception area, including handling phone calls, emails, and inquiries through the VHP (Virtual Hospitality Platform) system.
  • Maintain and update the visitor log, issue temporary access cards, and coordinate with security personnel as needed.
  • Perform routine administrative duties such as filing, scanning, data entry, and preparing daily reports for management.
  • Schedule and coordinate meeting rooms, ensuring that all necessary equipment and materials are prepared in advance.
  • Assist with the preparation and distribution of internal communications, newsletters, and promotional materials.
  • Handle incoming and outgoing mail, packages, and courier services, ensuring timely delivery and proper documentation.
  • Support the HR and finance departments with basic onboarding paperwork, attendance tracking, and expense reimbursements.
  • Provide occasional driving assistance for business errands, requiring a valid SIM A (Indonesian driving license).
  • Continuously monitor the reception area for safety and cleanliness, reporting any issues to facilities management.

Requirements

  • Minimum education: Diploma (D3) or Bachelor’s degree (D4) in Business Administration, Hospitality, or a related field.
  • At least 1 year of proven experience in a front desk, customer service, or administrative role.
  • Proficiency with the VHP (Virtual Hospitality Platform) or similar property management software.
  • Fluent written and spoken English; strong command of Bahasa Indonesia is also required.
  • Excellent verbal communication and interpersonal skills with a positive, solution‑oriented attitude.
  • Valid Indonesian driving license (SIM A) for occasional transportation duties.
  • Ability to work Monday through Saturday, 08:00 – 17:00, with flexibility for occasional overtime.
  • Strong organizational skills, attention to detail, and the ability to multitask in a busy environment.
