Introduction
We are seeking a motivated and detail‑oriented Admin Logistik (Tim Core Ops) to join our dynamic logistics team. This full‑time position operates Monday through Saturday, 08:00–17:00, and offers the opportunity to work closely with internal and external partners in a fast‑moving supply‑chain environment. The ideal candidate will have a minimum of a Diploma (D3/D4) and at least one year of relevant experience in logistics, transportation, or operational administration.
Responsibilities
- Manajemen Pengiriman & 3PL (Third Party Logistics)
- Book and allocate fleet capacity with 3PL vendors according to volume, product type, and delivery deadlines.
- Continuously monitor shipment status, providing real‑time updates until goods are received at the customer’s warehouse.
- Conduct price comparisons, negotiate rates, and evaluate vendor performance using KPI metrics such as on‑time delivery, damage rate, and cost efficiency.
- Koordinasi Antar Divisi
- Collaborate with the Warehouse/Production team to align loading schedules with stock availability.
- Provide the Sales team with accurate shipping updates for customer communication.
- Work closely with Finance to manage invoicing, cost reporting, and expense reconciliation.
- Manajemen Proyek In‑House (Armada Internal)
- Plan daily driver rosters and optimize internal truck routes for maximum vehicle utilization.
- Administer driver cash advances, fuel, toll, and meal allowances; verify e‑toll statements and physical receipts.
- Maintain petty‑cash funds for logistics operations, preparing weekly and monthly accountability reports.
- Administrasi Keuangan & Invoicing
- Collect, verify, and submit 3PL vendor invoices to Finance for timely payment.
- Perform data reconciliation between proof‑of‑delivery (POD) documents and billed amounts.
- Generate regular reports on shipping costs, variance analysis, and cash flow impacts.
- Continuous Improvement
- Identify process bottlenecks and propose automation or procedural enhancements.
- Support the development of SOPs and training materials for new logistics software tools.
Requirements
- Education: Minimum Diploma (D3) – any field, preferably Logistics, Supply Chain, or Business Management.
- Experience: 1–2 years in logistics, transportation coordination, or operational administration.
- Technical Skills:
- Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, macros).
- Familiarity with transportation management systems (TMS) and ERP platforms.
- Core Competencies:
- Strong communication and negotiation abilities.
- High integrity when handling driver cash advances and petty cash.
- Detail‑oriented with the capacity to work under pressure and meet tight deadlines.
