Introduction

The Admin Service Team Coordinator will serve as the backbone of our dealer’s service and sales operations. This full‑time position is based at our modern automotive showroom and supports a dynamic team that delivers high‑quality vehicle maintenance, repairs, and sales assistance to a growing customer base. We are seeking a motivated coordinator who can help streamline reporting, enhance customer outreach, and elevate our social media channels.

Responsibilities

  • Prepare and distribute accurate daily, weekly, and monthly service and sales reports for management review.
  • Contact existing and potential customers to schedule service appointments, follow up on sales leads, and provide after‑sales support.
  • Collect, clean, and analyze service and sales data to identify trends, performance gaps, and opportunities for improvement.
  • Manage the dealer’s social media platforms (Facebook, Instagram, LinkedIn, etc.), creating and publishing engaging content, monitoring comments, and responding to inquiries promptly.
  • Edit video content for promotional campaigns, service tutorials, and customer testimonials using basic video‑editing tools.
  • Coordinate with the service technicians, sales consultants, and marketing team to ensure alignment of messaging and operational efficiency.
  • Maintain organized digital and physical filing systems for all service orders, invoices, and customer communications.
  • Assist in preparing presentations and performance dashboards for senior leadership.
  • Provide on‑the‑spot troubleshooting for any administrative or digital communication issues that arise during the workday.

Requirements

  • Minimum education: SMA/SMK or equivalent.
  • Maximum age: 30 years.
  • Gender: Open to all.
  • Experience: Entry‑level (0+ years) – training will be provided.
  • Core skills:
    • Strong administrative and data‑entry capabilities.
    • Proficiency with video editing software for creating short content pieces.
    • Familiarity with digital communication tools (email platforms, CRM systems, social media management tools).
  • Soft skills:
    • Excellent written and verbal communication.
    • High attention to detail and strong organizational abilities.
    • Ability to work independently and as part of a collaborative team.
    • Customer‑focused mindset with problem‑solving orientation.
    • Adaptability to fast‑changing priorities and deadlines.
  • Work schedule: Monday – Saturday, 08:30 – 17:00.
