Introduction
We are seeking a proactive Administrator – Call Center & Administration to join our dynamic team. This role serves as the frontline for customer interaction, handling inquiries through phone, WhatsApp, and other digital channels while simultaneously managing sales administration tasks. The ideal candidate will be a detail‑oriented communicator who can bridge the gap between customers, store teams, and management, ensuring a smooth, controlled flow of information and orders.
The position offers a full‑time schedule with flexible placement across any of our locations. Working hours are Monday through Sunday, from 07:15 to 17:00, providing ample opportunity to develop both technical and soft‑skill competencies in a fast‑paced retail environment.
Responsibilities
- Answer and respond to customer inquiries via telephone, WhatsApp Business, and other messaging platforms in a courteous and timely manner.
- Conduct follow‑up activities such as presenting offers, confirming orders, and managing after‑sales support.
- Accurately input sales data, purchase orders, and invoices into the company’s ERP system, ensuring data integrity.
- Maintain and regularly update the customer database, generating daily and weekly performance reports for management review.
- Handle customer complaints with empathy and professionalism, documenting each case and monitoring resolution progress.
- Coordinate with store staff, sales representatives, warehouse personnel, and operational teams to relay order status and address any service issues.
- Manage the company’s WhatsApp Business account as a central hub for both external customer communication and internal announcements.
- Act as the information conduit between individual stores and senior management, delivering updates on sales, operational challenges, and recurring complaints.
- Prepare concise recap reports on inquiries, orders, and complaints for presentation to the management team.
- Assist with the administration of project documentation and retail sales paperwork, ensuring compliance with company policies.
- Continuously seek process‑improvement opportunities to increase efficiency, reduce response times, and enhance customer satisfaction scores.
Requirements
- Gender: Open to all genders.
- Age: Maximum 28 years.
- Education: Minimum high school diploma (SMA/SMK) – preferably in Administration, Accounting, or Marketing.
- Experience: At least 1 year in an administrative, customer service, or call‑center role.
- Strong communication skills, patience, and the ability to manage difficult conversations with composure.
- Proficiency in Microsoft Office, especially Excel (intermediate to advanced level).
- Hands‑on experience with WhatsApp Business and data‑entry systems.
- High attention to detail, responsiveness, and the ability to meet tight deadlines and performance targets.
- Honesty, accountability, and a collaborative mindset suitable for team environments.
- Willingness to work full‑time and relocate to any company site as needed.
