Healthy oceans are the lifeblood of our planet. But they're in peril - from climate change, overfishing, habitat destruction and other threats. That's why EDF's Fisheries & Oceans program is working to safeguard the oceans and protect nature while feeding the planet, creating more secure livelihoods, and bolstering more equitable societies for human well-being. One of the greatest threats to the oceans is overfishing, which is why our dedicated team of scientists, economists, and fishery management experts are collaborating with partners around the globe to make sustainable fishing the norm. Through our programs in the U.S., Latin America, and Asia Pacific, we draw on strong science and economic principles to advance sustainable fishing practices, forward-looking policies and innovative tools that support the health of our oceans and the people who depend on them for food and their livelihoods.
Overall Function

The Indonesia Administration and HR Coordinator will support the administration and HR work for EDF's Indonesia Fisheries & Oceans Program and, under the direction of the Operations Director, play a key role in ensuring the smooth running of daily operations. The Coordinator will report to the Director, Indonesia Operations and External Affairs and is based in Jakarta.
Key Responsibilities
  • Assist with recruitment and interview process such as advertising job vacancies, contacting selected applicants, arranging interviews for selected applicants, tracking status of candidates in social media and responding with follow-up letters at the conclusion of the recruiting process.
  • Schedule meetings and interviews as requested by the Director of Operations and External Affairs.
  • File documents into appropriate employee files.
  • Prepare new-employees files and support the onboarding process.
  • Administer health and welfare plans, including enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  • Reconcile benefits statements.
  • Assist with processing of terminations.
  • Assist with the preparation of performance review process.
  • Manage documentation, including contracts, maternity documentation, medical and sickness documentation, etc.
  • Set up personnel file and confirm that data remains accurate.
  • Coordinate HR training requirements, including organizing place and time for employee training, printing training certificates and filing them accordingly.
  • Follow office workflow procedures to ensure maximum efficiency.
  • Perform customer service functions by answering phone calls, employee requests and questions.
  • Assist or prepare correspondence related to program, operations and HR issues.
  • Maintain files and records with effective filing system.
  • Organize relevant office events/meetings related to internal and external work
  • Make domestic and international travel arrangements.
  • Monitor performance and support office assistance as needed in office maintenance and supply ordering to ensure an efficient working environment.
  • Oversee property management services, including maintenance of office and ordering proper office supplies.
  • Participate in advancing EDF DEI goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF Values.
    Perform others related to duties assigned.
Qualifications
  • At least an S1/bachelors degree.
  • At least 3 years of related experience.
  • Experience in project management and exceptional personal organization and attention to detail.
  • Experience or training in Human Resources, including recruitment, onboarding, maintenance of employee files, and offboarding.
  • Ability to manage multiple projects, tasks, priorities, and deadlines concurrently.
  • Excellent written and oral communication skills and the ability to work with colleagues and partners of varied backgrounds and experience.
  • Ability to work productively and collaboratively with colleagues located in multiple offices and time zones.
  • Proficiency in the use of PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
  • Demonstrates self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders across diverse cultures and backgrounds.
  • Fluency in both Bahasa Indonesia and English.
