ESSENTIAL DUTIES AND RESPONSIBILITIES
Providing administrative support to ensure efficient operation of Technical Services department. Supports managers and employees through a variety of tasks related to organization and communication.
Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Some of task which should be done by this role are as follows:
Create/ customize and monitor the Mobile Technician schedule to perform PPM and or Reactive works.
Updating Work Orders status in daily basis.
Assist to prepare work permit and HSE documents for all Mobile Technician, such as Job Safety Analysis (JSA)/ Job Hazard Analysis (JHA), Work Method Statement (WMS) and Risk Assessment.
Control & monitor inventory of spare parts & consumables at appropriate level, conduct stock opname in monthly basis.
Support MT to ensure spare parts required for PPM & reactive maintenance are available as scheduled/ timeline agreed, including RFQ & follow up to Vendor/ Supplier.
Assist to create a draft Quotation to client using agreed rate card and or defined standard basic calculation as targeted.
Create PR and PO to Vendor/ Supplier and ensure their related Invoice will be submitted on time refer to general payment terms and condition.
Retrieves and organizes data to provide a basis for comparison and evaluation, such as Technician Reports, Technician presence, Overtime, Daily expenses (Toll, Parking & Fuel).
Collect all cost CMT spending and assist to prepare reclass cost charge in monthly basis.
Diploma/bachelor's degree in any major
2-3 years working experience.
Strong written and verbal communication skills.
Ability to provide efficient, timely, reliable and courteous service to customers.
Ability to effectively present information to supervisors and finance management.
Requires knowledge of basic technical terms, concepts and principles.
Ability to comprehend, analyze, and interpret technical information and the ability to accurately explain/report activity in verbal and written communications.
Computer skills, including specific knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.). Strong work ethic and adaptable.
