Summary:

This position supports the operational the Department of Justice, Office of Overseas Prosecutorial Development, Assistance, and Training (DOJ OPDAT) in Jakarta and provides principal clerical and administrative support in organizing sponsored national, regional, and international conferences. She/he works closely with vendors for programs, oversees conference arrangement and implementation of programs, to ensure that conferences are properly implemented.

Duties

The Administrative Clerk supports the operational requirements of the Department of Justice, Office of Overseas Prosecutorial Development, Assistance, and Training (DOJ OPDAT) in Jakarta with three Resident Legal Advisors, three Legal Specialists, one Administrative Management Assistant (Office and Program Manager), and one chauffeur. Incumbent reports directly to the Administrative Management Assistant (Office and Program Manager), serves as the primary assistant for the RLA Officers, works closely with the Legal Specialists, and provides principal clerical and other assistance as well as administrative support for DOJ OPDAT in organizing sponsored national, regional, and international conferences. Incumbent manages day-to-day office management and performs and coordinates all administrative support activities in furtherance of OPDAT programs. Incumbent also works closely with vendors for programs, oversees conference arrangement and implementation of programs, and meets with vendors and conference site personnel to ensure that conferences are properly implemented and executed in compliance with procurement and programmatic protocols and expectations.


Qualifications and Evaluations

Requirements:

EXPERIENCE: Minimum two (2) years of prior experience working in an office management, secretarial/administrative/program management support, basic financial management or other job related experience.


(Please note that one credited year of working experience is equal to 40 hours/week x 52 weeks or 2080 hours.)


JOB KNOWLEDGE
: Good working knowledge of office management and administration including filling systems.

  • Good Working Knowledge Speaking/Reading/Writing in English and Bahasa Indonesia are required. (This may be tested).


SKILLS AND ABILITIES:


  • Demonstrate proficiency in word processing (40 words per minute with less than two errors per minute), spreadsheets, database, presentation, email and other computer programs. Must possess good organizational skill, inter-personal skill, critical thinking, and verbal and written communication skill in English. Must have the ability to organize routine data, documents, and maintain established procedures. Must have excellent attention to detail, be able to multitask and work with minimal superviision.
