Job Description


Office Management

  • Being the go-to person for solving front-of-house and facility-related issues and addressing needs timely and proactively.
  • Mailing (incoming and outgoing), redistributing mail and ensuring timely delivery
  • Managing supplies (stationery, catering, pantry).
  • Maintaining first-class presentation of the office, reception area, and meeting rooms at all times
  • Develop and manage strong relationships and communication with outsourced service vendors ( IT & Printer Vendors, Insurance, Lawyers ) and landlords to ensure efficient daily works, working with GM for required negotiation on YouGov’s behalf
  • Accepting and tidying away deliveries and ordering stationery and Water/tea/coffee and other F&B supplies
  • Working with the local team to arrange team events
  • You may be required to support the Office Coordinator with Global or Regional ongoing project

Finance Coordination

  • Responsibility to maintain records related to contracts, invoices, including but not limited to printing, completing the invoice preparation such as sticking stamp duties making them ready for GM’s signature, arrange invoicing delivery, and coordinating with the regional Finance team for completion documentation
  • Responsible for booking all ID employee outbound travel also managing and submitting YouGov Indonesia’s General Manager and other essential management expenses into the NetSuite system

Qualifications
  • Diploma or Bachelor Degree with 2-3 years experiences in Office Administration or Secretarial Duties
  • Proficient in MS Office
  • Excellent command of English is required
  • Excellent Communication and interpersonal skills and comfortable working in a group
