Introduction
We are seeking a diligent and proactive Office Administration and Document Management Staff to join our growing team. Responsibilities
- Manage incoming and outgoing correspondence, ensuring timely distribution to relevant departments.
- Maintain physical and electronic filing systems, guaranteeing that all documents are accurately indexed and easily retrievable.
- Perform data entry and update financial records using Excel, supporting the accounting team with routine reconciliations.
- Prepare, review, and archive contracts, invoices, purchase orders, and other critical business documents in compliance with company policy.
- Coordinate meeting schedules, book conference rooms, and arrange necessary equipment or refreshments.
- Assist in the preparation of monthly reports, presentations, and other business documents.
- Monitor office supplies inventory, place orders, and ensure that workstations are equipped with necessary tools.
- Respond to internal and external inquiries professionally, acting as a liaison between departments.
- Support the HR team with onboarding paperwork, employee records, and attendance tracking.
- Continuously seek process‑improvement opportunities to streamline document flow and reduce administrative bottlenecks.
Requirements
- Education: Minimum SMA/SMK (preferably with a focus on Accounting) or D3 in Accounting.
- Age: 23‑35 years (no upper age limit).
- Gender: All genders welcome.
- Work Experience: At least 1 year of relevant office or document‑management experience.
- Technical Skills: Proficient in Microsoft Excel and comfortable using office software suites.
- Core Competencies: Detail‑oriented, honest, quick‑thinking, highly communicative, self‑motivated, and responsible.
- Availability: Able to work Monday through Saturday, 08:00‑17:00.
