Position Summary

This position will be hired on a 1 year fixed term contract to assist Singapore Business Support Manager to manage the administrative operations including but not limited to planning, execution and completion of Jakarta permanent office project. Possibility to convert to an open ended contract, subject to business conditions and individual performance.

Responsibility

Daily responsibilities included but not limited to:

  • Manage and support the daily office operations.

  • Manage new/emergent business programs or projects.

  • Manage International Enterprise Services related projects / programs / initiatives.

  • Manage business & emergency preparedness planning for the office. This includes the planning and execution of business continuity and emergency management.

  • Manage and support business partnering in country.

  • Support customs compliance coordination with Global Trade Control.

  • Manage business entity compliance for all entities supported by Business Support Manager.

  • Manage and maintain proper filing and storage of entity compliance documents. Ensure protection of sensitive personal identifiable information.

  • As assigned, work together with Business Support Manager to facilitate integrated, consistent and accessible delivery of International Enterprise Services.

  • Work as a team player to support the local administrative staff.

  • Work as back up to other team members as needed.

  • Maintain International Enterprise Services standards and identify opportunities to improve service and reduce cost.

  • Greets, screens and directs visitors at Company sites to specific locations and offices.

  • Issues badges and passes to visitors authorized to enter company property.

  • Checks for approval of controlled items entering or leaving facilities.

  • Answers and routes telephone calls, answers general questions, directs vendors and acts as focal for receipt and delivery of express packages.

  • Follows and maintains lobby procedures. Coordinates and arranges corporate business travel and related expense reports.

  • Other tasks and duties requested by management. Duties subject to change per management requirements

Competencies

  • Excellent in local and English language skills (read, written, and spoken).

  • Immediate proficiency in MS Office (Excel, Word, PowerPoint, Outlook, Sharepoint).

  • Candidate with project management skills or experience.

  • Candidate able to work with various levels of stakeholders.

  • Candidate with good presentation and communication skills.

  • Candidate who work well in a team work environment.

  • Candidate to have/exhibit organizational and management skills and flexibility in work hours.

  • Candidate must be a self-starter with a positive attitude, high ethics and a track record of working successfully under pressure in a time-constrained environment.

  • Candidate to exhibit interpersonal skills and ability to work cooperatively as a team member.

  • Candidate must be methodical and thorough with a focus on detail and completion of tasks.

  • Candidate must be willingness to learn and apply new skills.

Experience/Qualifications

  • Minimum 2 years administrative experience - preferable experience in project management, stakeholders’ management and compliance management.

  • Bachelor degree and more than 2 years of related working experiences in multinational companies preferred. Or an equivalent combination of education and experience.

Relocation

  • Relocation assistance is not a negotiable benefit for this position.

  • Candidates must live in the immediate area or relocate at their own expense.

  • Benefits and pay are determined at the local level and are not on Boeing US-based payroll
