Job Description

Summary

A Commercial Operation Specialist provides marketing and office support to either an individual or team and is vital for the smooth-running of a business.

The duties may include organizing travel and accommodation for staff and customers, arranging both internal and external events, other job relating to marketing such as plans, develops and manages marketing events (e.g., trade shows, conventions, sales meetings). Coordinates customer invitation solicitations, advanced and on-site registration, and post-event follow up and evaluations. Researches available venues and recommends event sites. Investigates, selects, negotiates and manages services with vendors including catering and event support. Arranges space, brochures, hotels, equipment rental, and delivery, set up and dismantling of the exhibit. Prepares budgets and forecasts, and compiles summaries of total event costs, cost-per-contact, audience profiles, and attendees' comments. He/ she also needs to ensure the regular report and analysis on sales/ marketing activities and share to internal/ external stakeholders as needed. He/ she needs to establish Organon partnership with stakeholders to support business strategy.

Additionally, Commercial Operation Specialist often responsible for office projects and tasks, as a contact person with WeWork office Management and General office management such as ordering stationary, booking meeting rooms and conference facilities.

Accountabilities:

Marketing Activities and Event

  • To support marketing, medical and sales activities on doing their event
  • Work with local vendors to develop promotional inputs and manage approvals for promotional inputs/campaigns
  • Ensuring all proposal activities are planned on early years
  • Categorize proposal event as major event or minor event
  • administrators to implement all systems and functions related to the efficient operation
  • Preparing event from A to Z (including, accommodation, place, Visa, HOD, Contract for resource person, etc.)
  • Creating ID event on system
  • Register every medical professional/ other relevant parties as a vendor on system (MDG and HIPEROS)
  • Preparing PR and PO for every vendor on event related
  • Create promotional materials (but are not limited to Marketing/ Public Relation assets) and doing end to end approval process
  • Support buying process for public tender and private sector (discount management, account/ hospital/ pharmacies contract agreement, data entry, etc)
  • Sales analysis and report
  • External engagement: medical associations, government related bodies, women associations, trade associations, digital platforms, media

Document Completeness

Ensure all document that needed for event are complete, consist of

  • HOD letter for permission of Doctor/medical professional
  • Contract of Medical professional (KOL, Doctor, etc.)
  • Accommodation for medical professional (Hotel, transportation, visa)
  • Sponsorship letter

Ensuring payment all vendor related event to Finance with preparing document of

  • Approved ID event
  • Attendance list of event
  • Contract of Medical Professional
  • PR and PO every vendor

Document control and administration

Conduct Administrative Works & Travel Arrangement

  • Filling & Record keeping: Filing all managers ‘documents and appropriate records related to supervisor job (including doctor’s name based on venue) and sponsorships
  • Prepare & organize meetings, provide guest arrangement for hotel/ accommodation and transportation including meals in meetings; take minutes of meeting and distribute them to the members in order to ensure success of meeting.

Office Management Support

  • Greet and assist visitor
  • Maintaining relationship and communication with We Work Management including distribution of letter, package to all employee.

Qualifications

  • Candidate must possess at least a Diploma (D3).
  • At least 3+ years experience in pharma business administration. Experience in Marketing (junior product manager, product specialist) is a plus.
  • Assistant, having an experience with Pharmaceutical is an advantage.
  • Good ability to speaking & written English
  • Having an understanding in handling travelling, event and SAP systems is a plus.
  • Demonstrate proficiency with MS Office (Microsoft Word, Outlook, PowerPoint and Excel)
