Introduction

We are seeking a motivated Koordinator Administrasi Penjualan to join our dynamic sales support team. This role is pivotal in ensuring that all sales‑related administrative processes run smoothly, from order entry to documentation and reporting. The ideal candidate will be detail‑oriented, possess strong communication skills, and thrive in a collaborative environment where accuracy and timeliness are paramount.

Responsibilities

  • Process and validate sales orders, ensuring all required documentation is complete and accurate.
  • Maintain and update the sales database, tracking customer information, order status, and delivery schedules.
  • Coordinate with the sales, logistics, and finance departments to resolve order discrepancies and expedite shipments.
  • Prepare daily, weekly, and monthly sales reports for management review, highlighting key performance indicators and trends.
  • Assist in the preparation of quotations, contracts, and invoices, guaranteeing compliance with company policies.
  • Monitor inventory levels related to sales orders and alert the procurement team of potential stock shortages.
  • Provide timely responses to internal and external inquiries regarding order status, product availability, and delivery timelines.
  • Support the implementation of process improvements to enhance the efficiency of the sales administration workflow.
  • Ensure that all sales documentation is filed systematically and retained according to regulatory and company standards.
  • Participate in regular team meetings, contributing ideas that drive operational excellence.

Requirements

  • Minimum education: D3/D4 (Associate or Bachelor’s degree) in Business Administration, Management, or a related field.
  • Prior experience as a sales administrator or in a similar administrative role is highly preferred, though fresh graduates with strong aptitude are encouraged to apply.
  • Excellent attention to detail, honesty, discipline, and a strong sense of responsibility.
  • Ability to work effectively in a team setting and demonstrate strong interpersonal and communication skills.
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint) and familiarity with ERP or CRM systems.
  • Female candidates are preferred in accordance with the specific gender requirement for this position.
  • Flexibility to work Monday through Saturday, from 08:00 to 17:00.
  • Strong organizational skills with the ability to manage multiple tasks and meet strict deadlines.
