Introduction
We are seeking a motivated Finance Administration Coordinator to join our dynamic team in Manado. This full‑time position plays a pivotal role in ensuring that our financial operations run smoothly, from processing invoices to supporting the accounting department with accurate data management. The ideal candidate is a detail‑oriented professional with a background in accounting, strong Excel skills, and the ability to work collaboratively across departments while maintaining the highest standards of confidentiality and integrity.
Responsibilities
- Process and verify incoming invoices, expense reports, and purchase orders in accordance with company policies.
- Maintain and reconcile subsidiary ledgers, ensuring all entries are accurate and posted in a timely manner.
- Prepare daily, weekly, and monthly financial summaries for senior management review.
- Coordinate with vendors and clients to resolve billing discrepancies and answer payment inquiries.
- Manage the electronic filing system for all finance‑related documents, guaranteeing easy retrieval and compliance with audit standards.
- Support month‑end and year‑end closing activities by gathering necessary documentation and assisting with journal entries.
- Utilize advanced Microsoft Excel functions (pivot tables, VLOOKUP, macros) to automate routine reporting tasks.
- Facilitate online data transmission, ensuring secure and efficient exchange of financial information via email and cloud‑based platforms.
- Collaborate with the HR and procurement teams to monitor budget allocations and track expense approvals.
- Provide backup support for other finance staff during peak periods or when overtime is required.
Requirements
- Female candidates, maximum age 30 years.
- Minimum education: D3/D4 in Accounting or related field.
- At least 1 year of experience as a finance administrator or in a similar support role.
- Proficiency in Microsoft Office, especially Excel (advanced formulas, data analysis).
- Own a reliable two‑wheel vehicle for occasional site visits and errands.
- Strong understanding of email etiquette and secure online data transmission.
- Excellent interpersonal skills – able to work with teams, clients, and cross‑functional staff.
- Highly disciplined, punctual, and willing to work overtime when necessary.
- Good physical and mental health to handle the fast‑paced environment.
- Resident of Manado city or willing to relocate there.
- Availability to work Monday through Saturday, 08:00‑17:00.
