Introduction
We are seeking a motivated and detail‑oriented Full‑Time Administrative Assistant to join our dynamic team at our BSD office. The successful candidate will play a pivotal role in ensuring smooth daily operations, handling a variety of clerical tasks, and contributing to the overall efficiency of the office.
Responsibilities
- Manage the front desk, greet visitors, and handle incoming calls with professionalism.
- Maintain and update filing systems, both physical and digital, ensuring documents are organized and easily retrievable.
- Prepare, format, and distribute internal communications, reports, and presentations using Microsoft Office and Canva.
- Coordinate meeting logistics, including room bookings, catering arrangements, and distribution of agendas.
- Assist with basic bookkeeping tasks such as processing invoices, expense reports, and petty cash reimbursements.
- Support HR functions by onboarding new hires, maintaining employee records, and scheduling training sessions.
- Monitor office supplies inventory, place orders, and liaise with vendors to ensure timely delivery.
- Handle customer inquiries and provide information in a courteous, clear, and accurate manner.
- Collaborate with other departments to streamline processes, improve workflow, and support project initiatives.
- Ensure compliance with company policies and local regulations, especially regarding data privacy and record keeping.
Requirements
- Female candidates only, aged between 20 and 25 years.
- Minimum education: SMA/SMK or equivalent.
- Preferably some prior administrative experience, though fresh graduates with the right attitude are welcome.
- Excellent command of Bahasa Indonesia (formal and informal) and basic proficiency in English.
- Strong interpersonal skills: polite, honest, meticulous, and highly responsible.
- Proficiency in using Canva for creating simple graphics and visual content.
- Familiarity with standard office software (Microsoft Word, Excel, PowerPoint) and basic internet research.
- Ability to work independently, prioritize tasks, and meet strict deadlines.
- Flexibility to work the designated schedule: Tuesday‑Sunday, 09:00‑18:00 (with an alternative shift of Monday‑Saturday, 08:00‑17:00 as needed).
- Reliable transportation to the BSD location or willingness to use public transit.
