Responsibilities

  • Maintain and organize all project‑related legal documents, permits, and financial records, ensuring compliance with local regulations.
  • Digitize and archive physical paperwork using cloud‑based solutions, guaranteeing easy retrieval and secure backup.
  • Assist the finance team with invoice processing, payment tracking, and preparation of monthly financial reports.
  • Coordinate with project managers to schedule meetings, prepare agendas, and distribute minutes promptly.
  • Monitor office supplies inventory, place orders, and manage vendor relationships to keep the workspace well‑equipped.
  • Support the preparation of project proposals and tender documents, ensuring all required documentation is complete and accurate.
  • Provide frontline communication for internal and external stakeholders, answering inquiries and directing them to the appropriate department.
  • Implement and improve standard operating procedures for document handling, data entry, and record‑keeping.
  • Participate in periodic audits, providing necessary documentation and explanations to auditors.
  • Contribute ideas for workflow automation using Microsoft Office, Google Workspace, and other digital tools.

Requirements

  • Minimum education: D3/D4 or S1 in Administration, Accounting, Finance, or a related field.
  • At least 1 year of experience in office administration, accounting, or project support.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
  • Strong organizational skills with a keen eye for accuracy and detail.
  • Excellent written and verbal communication abilities; able to interact professionally with team members, clients, and regulatory bodies.
  • Demonstrated discipline, reliability, and the ability to prioritize multiple tasks under tight deadlines.
  • Familiarity with digital archiving, document management systems, and basic accounting principles (e.g., cost accounting, general ledger).
  • Female candidates only, as specified by the client’s gender preference.
  • Flexibility to work Monday‑Friday, 08:00‑17:00, with occasional overtime during peak project periods.
