Introduction

We are seeking a highly organized and proactive Senior Project Administrator to join our dynamic team in the Depok area of West Java. This full‑time position focuses on the meticulous management and coordination of IT‑related projects, ensuring that documentation, communication, and scheduling are handled with precision. The ideal candidate is a detail‑oriented professional who thrives in fast‑paced environments, possesses strong interpersonal skills, and is comfortable working with both technical and non‑technical stakeholders.

Responsibilities

  • Coordinate between technical and non‑technical teams to maintain clear, effective communication channels throughout the project lifecycle.
  • Control end‑to‑end project activities, with a particular focus on document handling, version control, and compliance with client requirements.
  • Develop and maintain detailed project schedules, ensuring that milestones are met and resources are allocated efficiently.
  • Prepare comprehensive project status reports and assist in the distribution of project documentation to clients and internal stakeholders.
  • Draft, circulate, and archive meeting minutes from technical team sessions, guaranteeing that action items are tracked and completed.
  • Log all client and technical team requests, verify their completeness, and follow up to ensure timely execution.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to create professional presentations, spreadsheets, and documentation templates.
  • Support the implementation and daily use of ERP systems, providing administrative assistance and data entry as needed.
  • Maintain a well‑organized digital filing system and ensure that all project artifacts are stored according to company policy.
  • Work independently or as part of a team, demonstrating flexibility and reliability in meeting project deadlines.

Requirements

  • Female candidates only; gender requirement reflects current project team composition.
  • Minimum education: D3/D4 or S1 in Information Systems, Computer Science, Industrial Engineering, or a related field.
  • At least 1 year of experience as a Project Administrator, preferably within the IT industry.
  • Proficiency in Microsoft Office applications, especially advanced Excel functions and PowerPoint design.
  • Strong organizational, documentation, and written/oral communication skills.
  • Familiarity with ERP systems is highly desirable; hands‑on experience will be considered a strong asset.
  • Ability to work both collaboratively in a team environment and autonomously on individual tasks.
  • Own a reliable laptop and smartphone for daily work activities.
  • Basic passive English proficiency sufficient for reading documentation and internal communications.
  • Immediate availability to join the team; candidates must reside in the Depok or broader West Java area.
  • Willingness to adhere to standard working hours (08:00 – 17:00) with the possibility of occasional overtime to meet project deadlines.
