Job Description

Job Purpose :
Purpose of the position is to improve distribution of information and communication between Regional and Local Management Team and General Manager, by ensuring deadline submission are achieved and informations are delivered according to Group, regional, and local direction and regulations.

Main Accountabilities:
1. Ensure the enquiries from the Management Team is being processed accordingly to the SOP.
2. Ensure submission of reports and documents from Management Team to the General Manager.
3. As the administrative assistant to the General Manager for processing expense claims / reimbursements, paperworks, arranging meeting schedules and agenda.
4. Arranging meetings of the Management Team, and responsible to handle the end-to-end process of making sure that the meetings are being prepared in an organized way, from booking the meeting room venue, preparation of equipments, coordination with the venue PIC.
5. As PIC to record Minutes of Meeting and follow up the result or action plan, or any pending action that should be taken
6. Compiling reports or documents for cross-function or close related cases within Management Team.
7. Act as assistant to the General Manager in finding and arranging the most effective and cost-considerate travel arrangements, while ensuring all required documents and requirements are being processed accordingly by GA or Legal department with attention to operational cost, productivity, efficiency, etc
8. Ensuring all coherent and close-related aspects of administration between all departments are being done correctly & processed according to Epiroc Way and local regulations.
9. Act as a document controller for all documents submitted to GM approval and monitor the documents shared in sharepoint and its interrelation between all the departments lead by the Management Team.
10. Notify GM whether there's an inconsistency of data between the departments of Management Team, or irrelevant / incorrect correlation in between.
11. Help the GM in analyzing the data from the Management team, and provide a helicopter view on the problems arise, while identifying potential solution and give reasonable advices.
12. Support the Management Team in data collection from various sources, and help on preparing/compiling the data presentation, which include but not limited to data editing or visualization into comprehensive charts, sorting/filtering, and vlookup-ing in Excel.

Requirements:

Educational Background :
  • Minimum Bachelor Degree from any major
Experience :
  • Minimum 5 years as Executive Secretary / Corporate Secretary
Knowledge & Skill :
  • Have a helicopter overview of corporate structure or governance
  • Vast knowledge in various department
  • Knowledge of business / industry related to mining service and equipment
  • Excellent communication skill
  • Analytical and able to work with various types of data
  • High integrity and able to maintain sensitive information
  • Fluent in English
  • Familiar with best practices in the industry and deep knowledge in information system flow
