Introduction
We are seeking a diligent and detail‑oriented Office Administration Staff to join our professional notary office. This role is pivotal in supporting the notarial team by ensuring that all legal documents, land registrations, and tax filings are processed accurately and efficiently. The ideal candidate will have at least one year of experience working in a notary environment, possess strong organizational abilities, and be comfortable using a variety of specialized software applications.
Responsibilities
- Prepare, draft, and manage various types of notarial deeds (akta) in compliance with legal standards.
- Handle the full administrative cycle of deeds, including filing, bundling, and archiving for easy retrieval.
- Maintain and update the Daftar Surat Waarmerking to track correspondence and official notifications.
- Act as a witness during the formalization of deeds, ensuring all procedural requirements are met.
- Coordinate land registration processes, liaising with the land office and preparing necessary documentation.
- Compile and maintain the Daftar Klapper – a register of official stamps and seals used by the notary.
- Prepare and submit periodic tax reports, ensuring compliance with local tax regulations.
- Record and process payments related to notarial services, including client invoices and government fees.
- Utilize specialized applications such as BKD PPAT, Mitra PPAT, AHU, Sentuh Tanah, and Kabayan for data entry, document tracking, and reporting.
- Provide general administrative support, including scheduling appointments, answering phone inquiries, and managing office supplies.
- Collaborate with senior notaries and legal staff to improve workflow efficiency and document quality.
Requirements
- Minimum education: High School Diploma (SMA/SMK) or equivalent.
- At least 1 year of hands‑on experience working in a notary office or a similar legal administrative setting.
- Proficiency in the following software: BKD PPAT, Mitra PPAT, AHU, Sentuh Tanah, Kabayan.
- Strong command of administrative and clerical skills, including record‑keeping, filing, and data entry.
- Excellent written and verbal communication skills in Bahasa Indonesia.
- Attention to detail, high level of accuracy, and ability to work under tight deadlines.
- Professional demeanor with strong ethics, as the role involves handling confidential legal documents.
