Introduction
We are seeking a diligent and detail‑oriented Database Administration Assistant to join our fast‑growing logistics and inventory management team. This role is pivotal in ensuring that daily stock movements are accurately recorded, documented, and reconciled across all divisions. The ideal candidate will possess a solid foundation in administrative procedures, a keen eye for numbers, and the ability to work both independently and collaboratively within a dynamic, six‑day workweek environment.
Responsibilities
- Oversee and verify the daily inflow and outflow of stock, ensuring all transactions are logged in the database promptly.
- Conduct thorough checks of stock‑taking (stock opname) results for each division, both paper‑based and electronic, and resolve any discrepancies.
- Manage the processing, filing, and archiving of all stock opname documentation in accordance with company SOPs.
- Prepare and submit purchase order requests for limited‑stock items to the Purchasing Department, tracking approvals and delivery schedules.
- Receive incoming goods, confirm alignment with purchase orders, assess completeness and condition, and verify accompanying documentation such as certificates of conformity.
- Create invoices, delivery notes, and other correspondence as required, ensuring accuracy and compliance with financial policies.
- Collaborate with the IT and data‑analytics teams to maintain database integrity, perform regular backups, and support system enhancements.
- Assist in the preparation of periodic inventory reports for senior management, highlighting trends, variances, and actionable insights.
- Participate in continuous improvement initiatives, suggesting process refinements to reduce errors and increase operational efficiency.
- Provide training and guidance to junior staff on proper stock handling and documentation procedures.
Requirements
- Minimum education: SMA/SMK or equivalent.
- At least 1 year of relevant experience in inventory administration, stock control, or a similar role.
- Female candidates are preferred, though all qualified applicants are encouraged to apply.
- Maximum age: 30 years.
- Willingness to work six days a week and to perform overtime when operational demands require it.
- Strong proficiency with database administration tools and basic spreadsheet software.
- Excellent attention to detail, able to work quickly without sacrificing accuracy.
- Effective communication skills, both written and verbal, for drafting invoices and correspondence.
- Demonstrated ability to follow standard operating procedures (SOPs) and follow directions from supervisors.
- Team‑oriented mindset, yet capable of handling independent tasks efficiently.
