Introduction

We are seeking a meticulous and organized individual to join our dynamic Admin Database & Document Troubleshoot Team as an Administrator Database & Document Control. This entry‑level position is ideal for fresh graduates or candidates with up to one year of relevant experience who are eager to develop their skills in data management, document archiving, and troubleshooting support within a fast‑growing engineering environment. The role is based in West Jakarta and offers a full‑time schedule from Monday to Saturday, 08:00 – 17:00.

The successful candidate will play a pivotal role in maintaining the integrity of our internal databases, ensuring that all project documentation and field photographs are systematically stored, and assisting the technical teams with timely data retrieval. Responsibilities

  • Enter, update, and validate data in the company’s central database, ensuring accuracy and completeness.
  • Conduct regular audits of database records to detect discrepancies and perform corrective actions.
  • Organize and archive digital documents—including contracts, permits, and technical drawings—using a consistent naming convention and folder hierarchy.
  • Collect, label, and catalog field photographs and visual records, creating searchable indexes for easy retrieval by project teams.
  • Assist in basic technical tasks such as interpreting simple engineering specifications and providing data support for troubleshooting activities.
  • Analyze recurring data issues, propose process improvements, and collaborate with IT or system administrators to implement solutions.
  • Coordinate with internal departments (e.g., Engineering, Procurement, and Quality Assurance) to fulfill data requests and ensure that SOPs and internal BAST (Berita Acara Serah Terima) are adhered to.
  • Monitor compliance with documented procedures, flagging any deviations and supporting corrective action plans.
  • Prepare periodic reports on data quality metrics, document turnover, and troubleshooting response times for senior management.
  • Continuously seek opportunities to enhance data management workflows, including the adoption of new spreadsheet functions, cloud‑based storage solutions, or simple automation scripts.

Requirements

  • Minimum education: D3/D4 or S1 (all majors accepted; preference given to Electrical, Civil, or Mechanical Engineering).
  • Fresh graduates are welcome, especially those who have completed relevant internships or practicum projects.
  • At least 1 year of experience in data entry, document control, or administrative support (internship experience counts).
  • Proficiency with Microsoft Excel or Google Sheets (basic to intermediate level) and a solid understanding of spreadsheet formulas, filters, and pivot tables.
  • Familiarity with core graphic tools such as CorelDraw, Adobe Photoshop, Illustrator, or Paint is considered a plus.
  • Strong attention to detail, organizational skills, and the ability to manage multiple documentation streams simultaneously.
  • Excellent analytical and problem‑solving abilities; capable of identifying root causes of data inconsistencies.
  • Effective communication skills in Bahasa Indonesia and basic English, both written and verbal.
  • Ability to work independently as well as collaboratively within cross‑functional teams.
  • High motivation to learn, adapt to new technologies, and contribute to continuous improvement initiatives.
