Introduction

We are seeking a diligent Petugas Administrasi Kantor to join our dynamic team in Padang. This full‑time position plays a crucial role in ensuring the smooth operation of our office by handling a wide range of administrative tasks, supporting workshop data management, and providing reliable assistance to both internal staff and external partners. Responsibilities

  • Accurately input and maintain workshop data, including service records, inventory logs, and billing information using the company’s ERP system.
  • Prepare, proofread, and distribute internal memos, reports, and correspondence in both Indonesian and, when required, English.
  • Manage the office calendar, schedule appointments, and coordinate meetings for the management team, ensuring optimal use of time and resources.
  • Handle incoming calls and visitors with a professional and courteous demeanor, directing inquiries to the appropriate departments.
  • Maintain physical and electronic filing systems, guaranteeing that all documents are organized, searchable, and compliant with company policies.
  • Assist in the preparation of monthly financial summaries, expense reimbursements, and purchase orders, collaborating closely with the accounting department.
  • Monitor office supplies inventory, place orders, and oversee the receipt and distribution of materials to maintain uninterrupted workflow.
  • Support HR functions such as onboarding new staff, maintaining employee records, and coordinating training sessions.
  • Participate in continuous improvement initiatives by suggesting process enhancements and adopting best practices for data integrity.
  • Ensure that the office environment adheres to health, safety, and security standards, reporting any concerns promptly.

Requirements

  • Age: 18–30 years old (minimum 18, maximum 30).
  • Education: Minimum SMA/SMK; preferably D3/D4 for candidates seeking career growth.
  • Gender: Female (as stipulated by the client’s operational policy).
  • Work Experience: At least 1 year of relevant administrative experience, preferably in a workshop or service‑center setting.
  • Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable learning proprietary data‑entry software.
  • Residency: Must be domiciled in Padang or willing to relocate.
  • Soft Skills: Strong attention to detail, excellent written and verbal communication, ability to prioritize multiple tasks, and a proactive problem‑solving attitude.
  • Reliability: Ability to work the standard schedule of Monday to Saturday, 08:00–17:00, with occasional flexibility for urgent matters.
