Introduction
We are seeking a motivated and enthusiastic Front Office Operations Manager (Intern) to join the team at Arya Villas Ubud. This internship offers a unique opportunity to gain hands‑on experience in a boutique hospitality environment set in the cultural heart of Bali. The role is designed for active university students or recent graduates who are eager to launch a career in the hospitality and hotel industry.
As an integral member of the front office team, you will support daily operations, interact with guests from around the world, and develop professional skills under the mentorship of seasoned managers. The position runs on a Monday‑Saturday schedule, from 08:00 to 17:00, and is available for a defined internship period.
Responsibilities
- Assist in supervising front desk staff to ensure smooth check‑in and check‑out processes.
- Handle guest inquiries, reservations, and special requests with a focus on personalized service.
- Coordinate with housekeeping, maintenance, and food & beverage teams to fulfill guest needs promptly.
- Monitor and maintain the accuracy of the property management system (PMS) and daily reports.
- Respond to guest complaints or issues, escalating to senior management when necessary while maintaining a calm and professional demeanor.
- Support the preparation of shift handover reports, occupancy statistics, and revenue forecasts.
- Participate in staff training sessions, onboarding new front office employees, and reinforcing service standards.
- Ensure compliance with health, safety, and security protocols throughout the front office area.
- Contribute ideas for process improvements and guest experience enhancements during team meetings.
- Represent Arya Villas Ubud at local tourism events and assist with promotional activities when required.
Requirements
- Active university student or fresh graduate from Hospitality Management, Tourism, Business Administration, or a related field.
- Strong interest in the hospitality or hotel industry and a desire to build a career in front office operations.
- Excellent communication skills in Bahasa Indonesia; proficiency in English is a distinct advantage.
- Professional appearance and polished demeanor that reflects the brand’s high standards.
- Ability to work both independently and as part of a collaborative team.
- Demonstrated discipline, responsibility, and a proactive, initiative‑driven attitude.
- Basic computer literacy, especially familiarity with property management software or Microsoft Office Suite.
- Flexibility to work six days a week (Monday‑Saturday) during the internship period.
