Introduction
We are seeking a diligent Staf Administrasi (ADM) to join our branch office in Martapura, Kalimantan Selatan. This entry‑level administrative position is pivotal for ensuring smooth day‑to‑day operations, supporting both internal teams and external clients. The successful candidate will work closely with supervisors, managers, and other staff members, providing accurate documentation, data entry, and office coordination. The role offers a structured work schedule from Monday to Saturday, 08:00 – 17:00, and is an excellent launching pad for a career in office administration within a dynamic regional business environment.
Responsibilities
- Prepare, file, and maintain physical and electronic records, ensuring compliance with company policies and legal requirements.
- Draft, proofread, and distribute internal memos, reports, and correspondence in Bahasa Indonesia and English as needed.
- Coordinate meeting logistics, including room bookings, equipment setup, and distribution of agendas and minutes.
- Handle inbound and outbound communications, such as telephone calls, emails, and postal items, directing them to the appropriate department.
- Maintain office inventory, monitor supply levels, and process purchase requests for stationery, printing materials, and other consumables.
- Assist in the preparation of monthly operational reports, data consolidation, and basic statistical analysis using MS Excel.
- Support the finance team with invoice verification, expense claim processing, and basic bookkeeping tasks.
- Provide front‑desk reception services, greeting visitors, issuing visitor badges, and ensuring a professional and welcoming environment.
- Collaborate with HR on onboarding paperwork, employee attendance tracking, and updating the internal employee database.
- Identify opportunities for process improvement, suggest workflow optimizations, and contribute to the implementation of best practices in office administration.
Requirements
- Minimum education: D3/D4 (associate or bachelor degree) in any field with a GPA of at least 2.75.
- Age: 25 – 28 years old, with a maximum limit of 28 years for applicants.
- Gender: Open to all genders.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new software tools.
- Strong written and verbal communication skills; ability to convey information clearly and courteously.
- High level of attention to detail and accuracy in data handling.
- Professional appearance and a tidy, presentable demeanor.
- Demonstrated ability to work both independently and as part of a team, managing multiple priorities under tight deadlines.
- Basic understanding of office workflow, document control, and confidentiality standards.
