Introduction
MTM Bali, the premier Cable TV and Internet Service Provider on the island, is expanding its operational team and seeks a dedicated Administrative General Coordinator to support the smooth functioning of our Kuta office. This full‑time position plays a pivotal role in organizing day‑to‑day activities, providing clerical assistance to managers, and ensuring that office processes run efficiently and in line with company standards. The ideal candidate will be a proactive problem‑solver with strong interpersonal skills, capable of handling multiple tasks while maintaining a high level of professionalism.
Responsibilities
- Answer and direct incoming phone calls, manage email correspondence, and handle physical mail and packages with accuracy.
- Serve as the first point of contact for internal staff, addressing inquiries, relaying information, and facilitating communication across departments.
- Coordinate daily office activities, including meeting room scheduling, visitor management, and supply inventory, to maintain a productive work environment.
- Maintain and update comprehensive records and databases covering personnel files, financial transactions, vendor contracts, and other critical data.
- Prepare routine reports, presentations, and spreadsheets for senior management, ensuring data integrity and timely delivery.
- Assist in onboarding new employees by preparing documentation, arranging workspace setup, and providing orientation on office procedures.
- Monitor compliance with company policies, health and safety regulations, and industry best practices, recommending improvements when necessary.
- Support project teams by tracking timelines, documenting progress, and facilitating the flow of information between stakeholders.
- Handle basic bookkeeping tasks, such as processing invoices, expense claims, and tracking budget expenditures.
- Contribute to continuous improvement initiatives, suggesting process optimizations that enhance efficiency and reduce operational costs.
Requirements
- Minimum education: Diploma (D3/D4) in any field; a degree in Business Administration, Management, or a related discipline is a plus.
- At least 1 year of proven experience as an office administrator, administrative assistant, or a similar role.
- Strong command of English, both written and spoken; Bahasa Indonesia proficiency is also required.
- Excellent communication and interpersonal abilities, with a friendly yet professional demeanor.
- Exceptional organizational and leadership skills, capable of prioritizing tasks and meeting deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with basic database management.
- Tech‑savvy attitude with a willingness to learn company‑specific software and digital tools.
- Flexible attitude toward working hours: Monday to Saturday, 08:00 – 17:00.
