Responsibilities
- Purchase Order Management: Create, review, and issue purchase orders (POs) in the company’s ERP system, ensuring accuracy of quantities, prices, and delivery dates.
- Supplier Coordination: Communicate regularly with vendors to confirm order status, negotiate terms, and resolve any discrepancies or delays.
- Documentation & Record‑Keeping: Maintain an orderly filing system—both digital and hard copy—for invoices, contracts, and delivery receipts, guaranteeing compliance with internal audit standards.
- Inventory Monitoring: Work closely with the warehouse team to track stock levels, flag low‑stock items, and initiate replenishment processes.
- Reporting & Data Analysis: Generate weekly and monthly reports on purchasing activities, cost savings, and supplier performance using MS Office (Excel, Word, PowerPoint).
- Team Collaboration: Support cross‑functional projects, assist colleagues in the finance and logistics departments, and contribute ideas for process improvements.
Requirements
- Minimum education: Diploma (D3) or Bachelor’s degree (S1) in any discipline; high school (SMA/SMK) graduates are also considered.
- Strong sense of integrity and a disciplined work ethic.
- Prior experience as an administrative assistant or in a purchasing support role is preferred, though fresh graduates are welcome.
- Excellent attention to detail, ability to work methodically, and a commitment to accuracy.
- Proficient in Microsoft Office suite, especially Excel for data handling and reporting.
- Effective communication skills—both written and verbal—and a collaborative mindset.
- Ability to work independently while also thriving in a team‑oriented environment.
