Introduction
PT Kencana Maju Bersama, a leading distributor in the textile and consumer goods sector, is expanding its Pekalongan branch and seeks a dedicated Staf Administrasi Penjualan (Sales Administration Staff). This full‑time position offers a dynamic work environment where accuracy, organization, and proactive communication are essential. The successful candidate will join a collaborative team, supporting the sales department to ensure seamless order processing, customer satisfaction, and reliable data management.
Responsibilities
- Manage daily sales order entry, verification, and confirmation using the company’s ERP system.
- Prepare and distribute sales contracts, quotations, and invoices while ensuring compliance with company policies.
- Maintain and update customer master data, product catalogs, and pricing tables in Microsoft Excel and Access.
- Coordinate with the logistics team to schedule deliveries, track shipment status, and resolve any discrepancies.
- Generate weekly and monthly sales reports, including performance dashboards for the sales manager.
- Handle incoming customer inquiries via phone, WhatsApp, and email, providing timely and professional responses.
- Assist in the preparation of sales forecasts and assist the procurement team with stock replenishment recommendations.
- Monitor payment status, issue reminders, and support the finance department in reconciling accounts receivable.
- Participate in regular team meetings, contributing ideas for process improvements and operational efficiency.
- Ensure all sales documentation is filed correctly, both digitally and in physical archives, to support audit requirements.
Requirements
- Education: Minimum D3/D4 in Business Administration, Marketing, or a related field.
- Gender: Female (as per company’s specific operational policy).
- Work Experience: At least 1 year of proven experience as an administrative assistant, preferably in a sales or distribution environment.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable learning ERP or CRM systems.
- Strong communication skills, both written and verbal, in Bahasa Indonesia; English proficiency is a plus.
- Excellent organizational abilities, attention to detail, and the capacity to manage multiple tasks under tight deadlines.
- Positive attitude, team‑spirit, and a willingness to take initiative in problem‑solving.
- Availability to work Monday through Saturday, 08:00 – 17:00.
