Introduction

To sustain our rapid growth and maintain operational excellence, we are seeking a **Senior Part Manager – Operational Supervision** who will take charge of the end‑to‑end spare‑part flow, from receipt at the central hub to final delivery at the workshop floor.

Responsibilities

  • Receive incoming shipments from the Head Parts Management (HPM) hub, verify quantities against purchase orders, and allocate newly arrived items to the appropriate storage zones.
  • Conduct thorough inspections of parts, confirm part numbers and condition, and promptly notify Service Advisors (SA) when ordered items are available for pick‑up.
  • Prepare and dispense spare parts based on internal requisitions or external dealer requests, ensuring accuracy and timeliness.
  • Maintain a detailed electronic register of every vehicle that has placed a parts order and track the status of each pick‑up, enabling real‑time visibility for service teams.
  • Update the daily parts‑order recap sheet, consolidating data from multiple sources to support inventory forecasting and replenishment planning.
  • Oversee daily operational activities of the spare‑part department, including workflow prioritization, staff coordination, and adherence to safety protocols.
  • Refresh the availability matrix for each service unit, highlighting units that have yet to collect their allocated parts and proactively following up with those teams.
  • Monitor stock levels continuously, flagging any items that fall below the predefined minimum stock threshold and initiating reorder processes.
  • Execute regular stock‑taking (stock opname) cycles, reconcile physical counts with system records, and investigate any discrepancies.
  • Collaborate with the procurement team to suggest optimal order quantities, lead times, and preferred suppliers based on historical consumption patterns.
  • Train junior staff on proper handling, documentation, and inventory control techniques to maintain a high standard of operational integrity.

Requirements

  • Minimum education: High School Diploma (SMA/SMK) or equivalent; further technical or logistics training is a plus.
  • Maximum age: 30 years.
  • At least 1 year of hands‑on experience in automotive parts management, inventory control, or a related logistics function.
  • Strong proficiency in Microsoft Office, especially Excel for data analysis and Word for reporting.
  • Excellent organizational skills with a keen eye for detail, capable of managing multiple priorities in a fast‑paced environment.
  • Demonstrated honesty, high initiative, diligence, and a rapid learning curve.
  • Effective communication skills, both written and verbal, to interact with service advisors, mechanics, and suppliers.
  • Ability to work flexible hours from Monday to Sunday, 08:30 – 16:30, and adapt to occasional overtime during peak periods.
  • Team‑oriented mindset with the ability to mentor and guide junior colleagues.
  • Basic understanding of automotive systems and common spare‑part classifications is desirable.
