Introduction
We are seeking a dynamic and highly organized Corporate Executive Secretary to join our fast‑growing team. This pivotal role supports senior leadership by managing daily operations, coordinating communications, and ensuring that the executive office runs smoothly. Responsibilities
- Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements, ensuring optimal use of time.
- Prepare, edit, and proofread correspondence, reports, presentations, and minutes of meetings using advanced Microsoft Office skills.
- Act as the primary point of contact for internal and external stakeholders, including clients, partners, and vendors, maintaining a courteous and professional demeanor.
- Organize and facilitate client visits, including logistics, agenda preparation, and follow‑up actions.
- Maintain and update confidential filing systems, both electronic and physical, ensuring compliance with company policies and data protection regulations.
- Assist with personnel administration tasks such as onboarding documentation, leave tracking, and employee record management.
- Support project teams by preparing status reports, tracking deliverables, and coordinating cross‑functional communication.
- Identify opportunities to improve office processes, recommend technology solutions, and assist in implementing efficiency‑enhancing tools.
- Handle ad‑hoc requests from senior management, including research, data analysis, and preparation of briefing materials.
Requirements
- Education: Minimum Bachelor’s degree (S1) in Business Administration, Communications, or a related field.
- Gender: Female candidates only, as per the organization’s current diversity policy.
- Experience: At least 1 year of proven experience in an executive support or administrative role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a willingness to adapt to new technology platforms.
- Communication: Excellent verbal and written Indonesian (and English) skills; ability to communicate clearly with senior executives, clients, and team members.
- Interpersonal Skills: Strong interpersonal and networking abilities, with a friendly, professional demeanor when interacting with clients.
- Organizational Ability: Demonstrated capacity to prioritize multiple tasks, meet strict deadlines, and manage competing demands.
- Adaptability: Comfortable working in a fast‑paced corporate environment and adjusting to changing priorities.
- Work Schedule: Monday to Friday, 08:00 – 17:00.
