Introduction
We are seeking a highly organized and proactive Senior Personal Assistant for Time Management & Administration to support our executive leadership team. Responsibilities
- Maintain and optimize the executive’s calendar, coordinating meetings, appointments, and travel itineraries across multiple time zones.
- Prepare agendas, take accurate minutes, and follow up on action items to ensure timely completion of tasks.
- Handle incoming and outgoing correspondence, including email, phone calls, and official documents, with a focus on professionalism and confidentiality.
- Organize and file both physical and digital records, ensuring easy retrieval and compliance with data‑retention policies.
- Process expense reports, invoices, and reimbursement requests, verifying accuracy and adhering to budget guidelines.
- Coordinate logistics for internal and external events, such as board meetings, workshops, and client presentations.
- Conduct research and compile reports on industry trends, market data, or specific project requirements as requested by senior staff.
- Act as a liaison between the executive office and other departments, fostering clear communication and swift issue resolution.
- Monitor deadlines for critical projects and provide reminders to keep teams on track.
- Assist with personal tasks for the executive when appropriate, such as booking personal travel, managing household services, or handling special requests.
Requirements
- Minimum education: High School Diploma (SMA/SMK) or equivalent.
- Age limit: maximum 40 years.
- Open to all genders.
- At least 2‑3 years of relevant experience as a personal or executive assistant, preferably in a corporate or high‑pressured environment.
- Proven ability to manage multiple priorities, meet tight deadlines, and maintain meticulous attention to detail.
- Strong administrative skills, including proficiency with office software (Microsoft Office, Google Workspace) and familiarity with calendar management tools.
- Excellent written and verbal communication skills in Bahasa Indonesia and basic proficiency in English.
- Demonstrated honesty, reliability, and a strong sense of responsibility.
- Professional demeanor, discretion when handling confidential information, and a collaborative attitude.
