Introduction
We are seeking a highly organized and proactive Personal Assistant to support our senior management team with schedule coordination, administrative tasks, and occasional driving duties. Responsibilities
- Manage complex calendars, arrange meetings, and coordinate travel itineraries for senior managers.
- Prepare, proofread, and distribute internal and external correspondence, reports, and presentation materials.
- Handle confidential information with the utmost discretion and maintain secure filing systems.
- Provide on‑site and off‑site support, including driving executives to appointments, client sites, and events using a valid SIM A driver’s license.
- Act as the first point of contact for visitors, clients, and vendors, ensuring a professional and welcoming experience.
- Monitor and prioritize incoming communications (email, phone, messaging apps) and respond or redirect as appropriate.
- Assist with budgeting and expense reporting, reconciling receipts and ensuring compliance with company policies.
- Coordinate logistics for corporate events, workshops, and off‑site meetings, handling venue selection, catering, and equipment setup.
- Maintain an up‑to‑date knowledge of industry trends and best practices in executive support to continually improve efficiency.
- Work collaboratively with cross‑functional teams, providing administrative assistance as needed to ensure project timelines are met.
Requirements
- Minimum education: Bachelor’s degree (S1) in Business Administration, Communication, or a related field.
- At least 1 year of proven experience as a Personal Assistant or in a similar administrative role.
- Female candidate with a valid SIM A driver’s license and a clean driving record.
- Excellent verbal and written communication skills in Bahasa Indonesia and English.
- Strong interpersonal skills with the ability to adapt quickly to a fast‑paced, ever‑changing work environment.
- Demonstrated ability to work effectively under pressure and meet tight deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools such as Google Calendar or Outlook.
- Professional etiquette, high integrity, and a customer‑focused mindset.
