Introduction

We are seeking a highly organized and proactive Personal Assistant to support our senior management team with schedule coordination, administrative tasks, and occasional driving duties. This full‑time position offers a dynamic work environment where adaptability, strong communication, and a meticulous eye for detail are essential. The successful candidate will be a reliable point of contact, ensuring that executives can focus on strategic initiatives while everyday logistics run smoothly.

Responsibilities

  • Manage complex calendars, arrange meetings, and coordinate travel itineraries for senior managers.
  • Prepare, proofread, and distribute internal and external correspondence, reports, and presentation materials.
  • Handle confidential information with the utmost discretion and maintain secure filing systems.
  • Provide on‑site and off‑site support, including driving executives to appointments, client sites, and events using a valid SIM A driver’s license.
  • Act as the first point of contact for visitors, clients, and vendors, ensuring a professional and welcoming experience.
  • Monitor and prioritize incoming communications (email, phone, messaging apps) and respond or redirect as appropriate.
  • Assist with budgeting and expense reporting, reconciling receipts and ensuring compliance with company policies.
  • Coordinate logistics for corporate events, workshops, and off‑site meetings, handling venue selection, catering, and equipment setup.
  • Maintain an up‑to‑date knowledge of industry trends and best practices in executive support to continually improve efficiency.
  • Work collaboratively with cross‑functional teams, providing administrative assistance as needed to ensure project timelines are met.

Requirements

  • Minimum education: Bachelor’s degree (S1) in Business Administration, Communication, or a related field.
  • At least 1 year of proven experience as a Personal Assistant or in a similar administrative role.
  • Female candidate with a valid SIM A driver’s license and a clean driving record.
  • Excellent verbal and written communication skills in Bahasa Indonesia and English.
  • Strong interpersonal skills with the ability to adapt quickly to a fast‑paced, ever‑changing work environment.
  • Demonstrated ability to work effectively under pressure and meet tight deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools such as Google Calendar or Outlook.
  • Professional etiquette, high integrity, and a customer‑focused mindset.
  • Soft‑skill competencies: active listening, problem‑solving, time‑management, and discretion.
