We are seeking a highly organized, proactive, and discreet Personal Assistant to the Executive Director (Female) who will serve as the right‑hand partner in daily operations, strategic coordination, and executive representation.
Responsibilities
- Provide seamless administrative and operational support to the Executive Director, ensuring her day runs efficiently.
- Manage complex calendars, schedule meetings, arrange domestic and international travel, and coordinate logistics for business trips.
- Prepare, proofread, and format reports, presentations, and correspondence in both Indonesian and English, with occasional basic Mandarin communication.
- Facilitate communication between the Director and internal departments (finance, HR, production) as well as external stakeholders such as investors, regulators, and partners.
- Draft accurate meeting minutes, track action items, and follow up on deliverables to guarantee timely completion.
- Maintain confidential files, contracts, and strategic documents in a systematic, searchable filing system.
- Represent the Director professionally in phone calls, emails, and on‑site visits, upholding the company’s brand image.
- Assist in preparing agendas, briefing materials, and decision‑support documents for board meetings and strategic reviews.
- Coordinate special projects, events, and corporate social responsibility initiatives as directed by the Executive Director.
- Monitor and respond to urgent issues, exercising sound judgement and discretion under pressure.
Requirements
- Minimum education: Bachelor’s degree (S1) – preferably in Management, Administration, Business, or related fields.
- At least 3 years of experience as a Personal Assistant, Executive Secretary, or in a comparable high‑level support role.
- Professional office appearance and demeanor, with strong interpersonal skills.
- Excellent verbal and written communication in Bahasa Indonesia and English; basic conversational Mandarin is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database or document‑management tools.
- Detail‑oriented, highly organized, and capable of multitasking in a fast‑paced environment.
- Demonstrated ability to handle confidential information with utmost integrity.
- Flexibility to travel within the Surabaya & Sidoarjo area and occasional out‑of‑town assignments.
- Strong problem‑solving attitude, resilience under tight deadlines, and a proactive, service‑mindset.
