Introduction

We are seeking a highly organized Executive Secretary – Operational Management to support our senior leadership team in Jakarta’s bustling Tanah Abang district. This role is pivotal in ensuring that the Director’s office runs smoothly, from managing complex calendars to safeguarding confidential corporate documentation. The ideal candidate will be a proactive, detail‑oriented professional with at least two years of relevant experience, a minimum of a bachelor’s degree in Secretarial Studies or a related field, and a passion for facilitating seamless communication across all levels of the organization.

Responsibilities

  • Coordinate and maintain the executive agenda, scheduling meetings, travel, and special events with precision.
  • Prepare, edit, and distribute comprehensive Minutes of Meeting (MoM) that capture action items, decisions, and follow‑up tasks.
  • Draft, format, and archive all official correspondence, ensuring compliance with corporate branding and legal standards.
  • Serve as the primary liaison between senior management, internal departments, and external stakeholders, fostering clear and professional communication.
  • Organize and preserve critical company documents, both physical and digital, using systematic filing and archiving procedures.
  • Provide administrative support for cross‑functional projects, including data collection, report preparation, and coordination of inter‑departmental meetings.
  • Uphold the highest standards of confidentiality, handling sensitive information with discretion and integrity.
  • Assist in the preparation of presentations, reports, and briefing materials for board meetings and strategic sessions.
  • Monitor office supplies and equipment, ensuring the executive suite remains fully equipped and functional.

Requirements

  • Female candidates, maximum age of 27 years.
  • Minimum Bachelor’s degree (S1) in Secretarial Studies, Business Administration, or a related discipline.
  • At least 2 years of experience supporting senior executives, preferably in a fast‑paced corporate environment (fresh graduates are also encouraged to apply).
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital archiving tools.
  • Demonstrated ability to produce accurate, systematic Minutes of Meeting and professional business letters.
  • Exceptional written and verbal communication skills, with a polished and courteous demeanor.
  • Strong organizational abilities, meticulous attention to detail, and a track record of maintaining confidentiality.
  • Willingness to work on‑site in Jakarta (Tanah Abang) with regular office hours: Monday‑Friday, 08:30 – 17:30.
  • Personal traits such as reliability, adaptability, and a service‑mindset that supports cross‑functional collaboration.
