Responsibilities
- Coordinate and manage company insurance documentation, ensuring timely renewals and compliance with regulatory requirements.
- Liaise with IT vendors to secure operational support, monitor service level agreements, and follow up on issue resolution.
- Oversee the company’s fleet of operational vehicles, including rental agreements, driver scheduling, maintenance planning, and related paperwork.
- Facilitate the procurement process by understanding the flow of purchasing requests, preparing requisitions, and maintaining accurate filing systems.
- Monitor and process monthly company payments such as building management fees, utilities, and vendor invoices, ensuring accuracy and adherence to budgets.
- Administer asset inventory, conduct regular audits, and update the asset management database.
- Support the planning and execution of internal events, collaborating with various departments to meet logistical needs.
- Maintain organized document control systems, including filing, archiving, and retrieval of critical records.
- Provide both independent and collaborative support to cross‑functional teams, fostering a cooperative work environment.
- Prepare regular reports on cost monitoring, vendor performance, and operational efficiency for senior management review.
Requirements
- Minimum education: D3/D4 (Associate or Bachelor’s degree) in Business Administration, Management, or a related field.
- At least 2–3 years of proven experience in General Affair or Office Administration.
- Hands‑on experience with office operation support, vendor coordination, asset management, and document filing.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Microsoft Outlook.
- Strong written and verbal communication skills in English; Bahasa Indonesia fluency is required.
- Demonstrated ability to handle routine monthly payments, vendor invoicing, and cost monitoring.
- Excellent organizational skills with a keen eye for detail and the ability to prioritize multiple tasks.
- Ability to work effectively both independently and as part of a team.
