Introduction

We are seeking a highly organized and proactive Secretary to the General Manager to support daily operations within a leading international hotel chain. This pivotal role serves as the primary point of contact between the General Manager, internal departments, and external partners, ensuring seamless communication and efficient workflow. The ideal candidate will possess a minimum of two years’ experience in a similar capacity, demonstrate fluency in English, and exhibit strong interpersonal skills that align with the hospitality industry’s fast‑paced, guest‑centric environment.

Responsibilities

  • Manage the General Manager’s calendar, schedule meetings, and coordinate travel itineraries, ensuring optimal time utilization.
  • Prepare, edit, and distribute confidential correspondence, reports, presentations, and meeting minutes with a high level of accuracy.
  • Act as the first line of communication for internal staff and external stakeholders, fielding calls, emails, and inquiries promptly and professionally.
  • Organize and facilitate board meetings, executive briefings, and cross‑functional workshops, including venue logistics and technical support.
  • Maintain and update filing systems—both electronic and paper‑based—to guarantee easy retrieval of critical documents.
  • Assist in project tracking by monitoring deadlines, compiling status updates, and liaising with department heads to ensure deliverables are met.
  • Handle expense reports, purchase orders, and basic budgeting tasks, adhering to the hotel’s financial policies.
  • Support HR initiatives such as onboarding new staff, maintaining personnel records, and coordinating training sessions.
  • Provide ad‑hoc research and data analysis for strategic initiatives, presenting findings in clear, concise formats.
  • Ensure the office environment remains organized, stocked with supplies, and reflects the professional standards of a luxury hospitality brand.

Requirements

  • Minimum high school diploma (SMA/SMK) or equivalent; further education is a plus.
  • At least 2 years of proven experience as a secretary or executive assistant within an international hotel chain or comparable hospitality setting.
  • Fluent written and spoken English; additional language skills are advantageous.
  • Excellent interpersonal and communication abilities, with a polished phone and email etiquette.
  • Strong organizational skills and the capacity to prioritize tasks under pressure.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with industry‑specific software (e.g., property management systems).
  • Demonstrated discretion when handling confidential information.
