Introduction

We are seeking a highly motivated Senior Administrative Officer to join our Operations Department. This pivotal role supports the seamless execution of daily business activities, ensuring that our administrative processes are efficient, accurate, and aligned with the strategic goals of the organization. The successful candidate will work in a dynamic environment, collaborating with cross‑functional teams, and will be instrumental in driving operational excellence across our network of beauty salons.

Responsibilities

  • Coordinate and supervise the daily administrative workflow, including document management, filing, and record‑keeping.
  • Prepare, review, and distribute operational reports, performance dashboards, and financial summaries for senior management.
  • Manage inventory of salon supplies, track purchase orders, and liaise with vendors to ensure timely delivery.
  • Oversee scheduling and payroll processing for salon staff, ensuring compliance with labor regulations and company policies.
  • Provide front‑line support for customer inquiries, complaints, and service requests, maintaining a high level of professionalism and responsiveness.
  • Develop and implement standard operating procedures (SOPs) to improve efficiency and reduce errors.
  • Assist in the recruitment, onboarding, and training of new administrative and salon personnel.
  • Collaborate with the marketing and finance teams to coordinate promotional campaigns and track associated budgets.
  • Utilize the store management system to monitor sales data, generate commissions, and analyze trends for continuous improvement.
  • Maintain a clean, organized, and welcoming work environment that reflects the brand’s commitment to beauty and professionalism.

Requirements

  • Education: Minimum D3/D4 (Associate or Bachelor degree) in Business Administration, Management, or a related field.
  • Gender: Open to all genders; however, candidates with a background in beauty and salon services are highly preferred.
  • Age: 18 – 38 years.
  • Experience: At least 0‑2 years of administrative experience, preferably within a salon, spa, or retail beauty environment.
  • Technical Skills: Proficiency with store management and point‑of‑sale (POS) systems, Microsoft Office Suite, and basic accounting software.
  • Personal Attributes: Strong discipline, excellent communication, ability to work both independently and as part of a team, and a presentable appearance that aligns with the company’s brand image.
  • Soft Skills: Problem‑solving, time‑management, attention to detail, and a customer‑centric mindset.
