Introduction
We are seeking a motivated Purchasing & Procurement Specialist to join our dynamic hospitality team. This role is pivotal in ensuring that all goods and services required for our hotel operations are sourced efficiently, cost‑effectively, and in line with our high standards of quality. The successful candidate will work closely with the finance department, hotel managers, and external suppliers to maintain optimal inventory levels while supporting our growth strategy across multiple outlets.
Responsibilities
- Develop and execute procurement strategies that align with the hotel’s financial goals and operational needs.
- Source, evaluate, and negotiate with suppliers for a wide range of items, including food & beverage, linens, amenities, and maintenance equipment.
- Maintain accurate costing records and perform regular price analysis to identify savings opportunities.
- Oversee inventory control processes across all hotel outlets, ensuring minimum stock levels while preventing excess.
- Collaborate with the accounting team to reconcile purchase orders, invoices, and payment schedules in the accounting software.
- Prepare detailed purchase reports, variance analyses, and monthly procurement performance dashboards.
- Monitor supplier performance, conduct regular audits, and address any quality or delivery issues promptly.
- Support multi‑outlet management by coordinating bulk orders and distributing supplies to individual properties.
- Adhere to corporate procurement policies, ethical standards, and sustainability guidelines.
- Assist in training junior staff on best practices in purchasing, inventory management, and Excel data analysis.
Requirements
- Minimum Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (S1).
- At least 1‑2 years of hands‑on purchasing experience, preferably within the hotel or hospitality industry.
- Strong understanding of costing methods, inventory control techniques, and multi‑outlet operations.
- Proficiency in accounting software (e.g., SAP, Oracle NetSuite) and advanced Microsoft Excel functions such as VLOOKUP, pivot tables, and macros.
- Exceptional analytical skills with a keen eye for detail and a commitment to accuracy.
- Demonstrated integrity, honesty, and the ability to make firm decisions under pressure.
- Excellent verbal and written communication skills, capable of building strong relationships with internal stakeholders and external vendors.
- Ability to work independently while meeting strict deadlines and performance targets.
- Flexibility to work a Monday‑Saturday schedule, 08:00‑17:00, with occasional overtime during peak periods.
