Introduction

We are seeking a diligent and organized Office Administration and Document Management Staff to join our dynamic team. This role is essential for maintaining the smooth flow of information, supporting hotel operations, and ensuring that all administrative processes are handled with precision and professionalism. The successful candidate will work closely with internal departments, handle a wide range of documentation tasks, and contribute to the overall efficiency of the organization.

Responsibilities

  • Accurately input and update company administrative data using internal software and spreadsheets.
  • Maintain, organize, and archive both physical and digital documents, ensuring quick retrieval and compliance with record‑keeping standards.
  • Prepare daily, weekly, and monthly reports that summarize key operational metrics and administrative activities.
  • Support the hotel’s operational administration by coordinating front‑desk paperwork, guest registration logs, and service requests.
  • Collaborate with cross‑functional teams—including finance, human resources, and housekeeping—to fulfill their administrative needs.
  • Manage incoming and outgoing correspondence, including email, fax, and courier services, while prioritizing urgent matters.
  • Assist in scheduling meetings, booking conference rooms, and arranging travel logistics for staff members.
  • Monitor inventory of office supplies and place orders to ensure continuous availability.
  • Conduct routine audits of documents and data entries to identify and correct inconsistencies.
  • Provide exceptional customer service to internal and external stakeholders, demonstrating clear communication and problem‑solving abilities.

Requirements

  • Minimum education: High School (SMA/SMK) or equivalent; a diploma (D3) or bachelor’s degree (S1) in Administration, Business, or a related field is preferred.
  • At least 1 year of proven experience in an administrative or document‑management role, preferably within the hospitality or service industry.
  • Strong computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and experience with document management systems.
  • Excellent written and verbal communication skills in Bahasa Indonesia; proficiency in English is an advantage.
  • Detail‑oriented mindset with a high degree of accuracy in data entry and record keeping.
  • Effective time‑management and ability to prioritize multiple tasks under tight deadlines.
  • Strong interpersonal skills, capable of working both independently and as part of a collaborative team.
  • Adaptability and a proactive attitude toward learning new tools and processes.
