We are seeking a dynamic and customer‑focused Reception Night Shift Coordinator to join our hospitality team. This pivotal role serves as the face of our hotel during the evening and overnight hours, ensuring guests experience seamless service, safety, and satisfaction. Responsibilities

  • Greet and check‑in guests arriving during night hours, verifying reservations and processing payments efficiently.
  • Conduct the nightly audit, reconciling all front‑desk transactions, posting charges, and preparing accurate financial reports for the morning shift.
  • Manage the hotel’s reservation system, update room inventory, and handle modifications or cancellations promptly.
  • Respond to telephone inquiries, email requests, and online chat messages, providing accurate information about rates, amenities, and local attractions.
  • Address guest concerns or complaints with professionalism, escalating issues to the Night Manager when necessary to ensure swift resolution.
  • Coordinate with housekeeping, maintenance, and security teams to fulfill special requests, report incidents, and maintain a safe environment.
  • Prepare and distribute daily hand‑over reports to the morning front‑desk staff, outlining occupancy, pending requests, and any operational notes.
  • Monitor and enforce security protocols, including key control, visitor logs, and emergency procedures during the night shift.
  • Maintain a tidy and organized reception area, ensuring promotional materials and guest information are up‑to‑date.
  • Participate in periodic training sessions to stay current with hotel systems, service standards, and industry best practices.

Requirements

  • Minimum education: D3 in Hospitality Management or any related field; high school (SMA/SMK) graduates may also apply if they possess relevant experience.
  • At least 1 year of proven experience in a Front Office or reception role within the hotel industry.
  • Willingness and ability to work night shifts, including weekends, with a schedule typically Monday‑Saturday.
  • Fluent English communication skills (both spoken and written) with the ability to interact confidently with international guests.
  • Professional appearance, courteous demeanor, and strong interpersonal skills.
  • Proficiency in hotel reservation software (e.g., Opera, Protel) is a distinct advantage.
