Responsibilities
- Monitor daily operational activities across various business units to ensure alignment with company policies and targets.
- Manage the creation, filing, archiving, and retrieval of both physical and digital documents, guaranteeing compliance with legal and regulatory requirements.
- Prepare and distribute regular reports on operational performance, budget utilization, and key performance indicators (KPIs) to senior management.
- Conduct data analysis using Microsoft Excel and other spreadsheet tools to identify trends, forecast resource needs, and support decision‑making.
- Coordinate with cross‑functional teams—such as finance, procurement, and HR—to gather information, resolve discrepancies, and streamline workflows.
- Assist in the evaluation of budgets and actual expenditures, highlighting variances and recommending corrective actions.
- Ensure that all administrative processes adhere to the company’s standard operating procedures (SOPs) and continuous improvement initiatives.
- Provide administrative support for meetings, including agenda preparation, minute taking, and follow‑up on action items.
- Maintain an up‑to‑date database of contacts, contracts, and vendor information, ensuring data integrity and confidentiality.
- Respond promptly to internal and external inquiries, demonstrating professionalism and a customer‑focused attitude.
Requirements
- Minimum education: SMA/SMK or equivalent; candidates with a degree in Management (S1) are highly preferred.
- At least 1 year of relevant experience in office administration, document control, or data management.
- Proficiency in Microsoft Office, especially Excel (advanced formulas, pivot tables, and data visualization) and Word.
- Strong written and verbal communication skills; ability to work effectively in a team and coordinate with multiple stakeholders.
- Demonstrated problem‑solving abilities, with a track record of handling pressure‑filled situations calmly and efficiently.
- Highly organized, meticulous, and proactive with a disciplined work ethic.
- Open to constructive feedback and committed to continuous personal and professional development.
