Responsibilities
- Verify and validate incoming and outgoing documents to ensure accuracy and compliance with company policies.
- Create and maintain comprehensive registers for inventory, correspondence, and project tracking.
- Prepare detailed service level reports, highlighting performance metrics, bottlenecks, and improvement opportunities.
- Manage the registration and filing of hand‑over documents, guaranteeing that all records are properly archived and easily retrievable.
- Coordinate with internal teams to schedule and document meetings, prepare minutes, and follow up on action items.
- Utilize advanced Excel functions—including VLOOKUP, HLOOKUP, pivot tables, and IF statements—to analyze data, generate dashboards, and support decision‑making.
- Provide first‑line support for office equipment and software issues, liaising with IT when necessary.
- Assist in onboarding new employees by preparing welcome kits, setting up workstations, and guiding them through administrative procedures.
- Contribute to continuous process improvement initiatives by identifying inefficiencies and recommending streamlined workflows.
- Perform occasional overtime to meet critical deadlines or support special projects.
Requirements
- Minimum education: Bachelor’s degree (S1) in any discipline.
- Age: Up to 25 years old.
- Gender: Open to all genders.
- At least 1 year of relevant office administration experience.
- Proficiency in Microsoft Office, especially Excel (advanced formulas, VLOOKUP/HLOOKUP, pivot tables, IF functions).
- Strong computer literacy, capable of navigating various office systems and applications.
- Excellent verbal and written communication skills in Bahasa Indonesia and basic English.
- Demonstrated ability to work both independently and as part of a collaborative team.
- High level of accuracy, attention to detail, and strong organizational capabilities.
- Flexibility to work overtime when project demands require it.
