Introduction

We are seeking a highly organized and proactive Executive Secretary to join our dynamic corporate team. This pivotal role provides comprehensive administrative support to senior executives, ensuring smooth daily operations and facilitating strategic initiatives across the organization. Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate appointments for senior management.
  • Prepare, edit, and distribute confidential correspondence, reports, and presentations.
  • Arrange domestic and international travel itineraries, including flight bookings, accommodation, and ground transportation.
  • Organize and attend meetings, take accurate minutes, and follow up on action items.
  • Maintain filing systems—both electronic and paper—and ensure records are up‑to‑date and easily retrievable.
  • Handle incoming calls, emails, and visitors with a courteous and professional demeanor.
  • Support project teams by tracking deliverables, preparing status updates, and coordinating cross‑functional communication.
  • Utilize social media platforms to monitor company mentions, assist with basic content posting, and help manage the corporate brand’s online presence.
  • Operate standard office software (MS Office, Google Workspace) and specialized administrative tools efficiently.
  • Assist with budgeting and expense reporting, ensuring compliance with company policies.
  • Provide ad‑hoc support for special events, corporate gatherings, and executive engagements.

Requirements

  • Minimum education: High School Diploma (SMA/SMK) or equivalent; a D3 degree is preferred.
  • At least 1 year of proven experience in an executive or senior administrative role.
  • Strong computer literacy: proficient with Microsoft Office, email platforms, and internet research.
  • Excellent written and verbal communication skills in Bahasa Indonesia; English proficiency is a plus.
  • Demonstrated ability to work under pressure, meet tight deadlines, and adapt to changing priorities.
  • Willingness to travel outside the city when required.
  • Professional appearance, well‑groomed, and capable of representing the company positively.
  • Team‑oriented mindset with the capacity to collaborate across departments.
  • Familiarity with social media tools and basic content management.
